My preferred approach to a meeting with Developers and Engineers is to schedule a block of time after reserving an available conference room. I would email a meeting invite to the appropriate attendees for an hour or two with an agenda. I would print out an agenda, and a read ahead before the meeting, and I would send the information electronically as an attachment with instructions the day before the meeting.
