Wellspring is an independent wealth management firm. We offer holistic financial services to high-net-worth individuals and families including investment advisory, income tax planning and compliance, financial and estate planning, risk management, and other multi-family office services. The Investment Operations Associate supports the day-to-day operations of the firm’s investment platform by ensuring data accuracy, efficient workflows, and timely reporting across systems and custodians. This role collaborates with the investment management, advisor, and client service teams to reconcile data, maintain investment systems, and produce reports that support client experience and portfolio oversight. The associate plays an essential role in maintaining the integrity of Wellspring’s investment data and ensuring operational excellence across all aspects of the investment lifecycle.

System Configuration & Data Management

• Configure and maintain Canoe for alternative investment document processing and data extraction.
• Manage capital call and distribution entries from Canoe into Black Diamond, ensuring accuracy and timely updates.
• Oversee the ByAllAccounts aggregation database, including daily feed monitoring, reconciliation, and error troubleshooting.
• Assist with data processing, analytics, and reporting enhancements, ensuring high-quality data feeds and usability across systems.

Reconciliation & Reporting

• Perform reconciliations between Fidelity and Black Diamond, ensuring all trades, cash movements, and positions are accurately reflected.
• Research and resolve reconciliation breaks in coordination with custodians and senior team members.
• Support the Director of Investment Operations in maintaining consistency and accuracy across all reporting workflows.
• Perform ongoing data validation and QA across Black Diamond, Canoe, ByAllAccounts, and Fidelity feeds.

Account Administration & Maintenance

• Set up and establish new account openings in portfolio accounting system, including household structure, model assignments, and reporting configuration.
• Manage closed accounts through the full reporting cycle, ensuring proper archival and data accuracy.
• Maintain and process manual account updates (restricted assets, non-marketable securities, and held-away accounts).

Trade Support & Execution

• Assist with trade execution and trade file validation.
• Verify accuracy of executed trades and confirm settlement in coordination with the investment management team.
• Support system testing and data validation related to trade automation and workflow optimization.

Qualifications

• Bachelor’s degree in finance, Accounting, Economics, or related field.
• 1-3 years of experience in investment operations, performance reporting, or data reconciliation preferred.
• Familiarity with Black Diamond, Addepar, Orion, or similar portfolio accounting systems preferred.
• Strong Excel proficiency and comfort working with large datasets.
• Detail-oriented, analytical, and process-driven mindset.
• Excellent communication skills and the ability to collaborate across teams.

Pay: $70,000.00 - $90,000.00 per year
