Intracorp is seeking a Contract Administrator to join our Southern California team. This position plays a critical role in supporting our Purchasing and Construction teams by managing subcontractor and vendor agreements, contract documentation, compliance requirements, and project records throughout the construction lifecycle.
The ideal candidate is organized, proactive, detail-oriented, and comfortable managing multiple priorities while working with subcontractors, vendors, project teams, and external business partners.
POSITION OVERVIEW
The Construction Contract Administrator is responsible for administering and maintaining subcontractor and vendor agreements, change documentation, insurance compliance, purchasing records, and project files that support successful project execution.
This role ensures contracts, compliance documents, and project records are accurate, organized, and current, allowing project teams to focus on delivering exceptional homes and communities.
Key Responsibilities:
- Prepare, process, and maintain subcontractor and vendor agreements, project documents, exhibits, and templates, ensuring all documentation is compliant, complete, and electronically filed in the appropriate project folders.
- Coordinate contract commitments and executed agreements with accounting for commitment setup and tracking.
- Administer subcontract agreements and related contract documents through DocuSign.
- Prepare, issue, and track subcontractor and vendor contracts, purchase orders, and change orders through full execution while maintaining accurate contract logs.
- Coordinate Option Purchase Order requests with the Option Administrator.
- Maintain organized, audit-ready electronic project files for both active and closed projects.
- Coordinate with internal departments and external partners to ensure compliance with reporting requirements, deadlines, and program requirements, including CALSTRS Responsible Contractor Program and public bidding requirements.
- Manage subcontractor prequalification documentation, review submissions for completeness, and coordinate approval workflows while maintaining records for future reference.
- Verify California contractor licensing, bonding, workers' compensation coverage, and active status through the California State License Board (CSLB).
- Collect, track, and maintain subcontractor city business licenses to ensure ongoing compliance with local jurisdiction requirements.
- Obtain, review, and track subcontractor and vendor certificates of insurance to ensure coverage limits and required endorsements meet project requirements.
- Coordinate enrollment of qualifying contractors in the Owner Controlled Insurance Program (OCIP) and maintain insurance compliance records for all subcontractor and vendor agreements.
- Support Purchasing Agents during the buyout process and maintain buyout reports reflecting current contract status.
- Administer Textura billing cycles, ensuring subcontractors and vendors can accurately submit contract billings electronically.
- Support project bidding activities by organizing bid proposals, maintaining BidMail status updates, following up with subcontractors as needed, and providing bidding activity reports to the Purchasing team.
- Coordinate plans reprographics, safety equipment, company apparel, and office supplies for the Construction team.
- Provide general administrative and project support to the Purchasing and Construction teams as needed.
QUALIFICATIONS
Required Qualifications:
- 3+ years of experience in contract administration, construction administration, project administration, or a related role within commercial or residential construction.
- Experience working with a residential developer, homebuilder, general contractor, or construction-related organization preferred.
- Solid understanding of subcontract agreements, purchase orders, change orders, contract administration, and contract execution workflows.
- Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook, with the ability to effectively utilize document management systems.
- Strong organizational skills with demonstrated experience managing multiple projects, deadlines, priorities, and document workflows simultaneously.
- Exceptional attention to detail and accuracy, with the ability to track, log, monitor, and follow up on contracts, approvals, and compliance documentation.
- Excellent written and verbal communication skills, including professional correspondence with subcontractors, project teams, leadership, and external partners.
- Ability to work independently, prioritize competing deadlines, consistently follow through, and effectively collaborate with cross-functional teams.
- Ability to handle confidential financial, contractual, proprietary, and project-related information with professionalism and discretion.
- Working knowledge of insurance compliance requirements, subcontractor documentation, contractor licensing requirements, compliance programs, and document control processes.
- Experience coordinating with internal stakeholders, including Purchasing, Construction Managers, Project Engineers, Accounting, and other project team members.
- Experience with DocuSign or similar electronic signature platforms.
Preferred Qualifications:
- Experience working in urban, mid-rise, podium, wrap, garden-style, townhome, single-family, or large-scale residential construction environments.
- Experience with Owner Controlled Insurance Programs (OCIP) and/or Contractor Controlled Insurance Programs (CCIP), including subcontractor enrollment and compliance requirements.
- Familiarity with CALSTRS Responsible Contractor Program requirements and public bidding processes.
- Knowledge of construction accounting, invoice review, and construction payment administration processes.
- Familiarity with construction terminology, scopes of work (SOW), schedules of values (SOV), buyout processes, and option administration.
- Experience supporting multiple construction projects concurrently.
- Experience with construction management processes and project workflows.
- Experience with construction software platforms such as Textura, Procore, Sage, Yardi, BidMail, or similar systems.
- Basic proficiency with Bluebeam Revu and/or Adobe Acrobat Professional for document management, plan review, and markup.
- Notary Public certification is a plus.
