The Clinic Manager is responsible for overseeing the daily operations and workflow of the clinical department while maintaining direct patient care responsibilities as outlined in the Medical Assistant/LPN role. This position ensures efficient staffing, regulatory compliance, quality performance metrics, and a high standard of patient service. The Clinic Manager serves as the primary point of contact for departmental operations, staff supervision, and interdepartmental coordination, supporting leadership in achieving clinical excellence and operational efficiency.

Key Responsibilities

Clinical & Operational Oversight

• Perform standard clinical duties as outlined in the Medical Assistant/LPN job description.
• Manage daily workflow, delegate tasks appropriately, and ensure adequate staffing coverage.
• Create and maintain team schedules, including managing call-offs and time-off coverage.
• Serve as the primary “go-to” resource for day-to-day departmental questions and operational concerns.
• Facilitate interdepartmental communication and coordination.
• Escalate significant operational issues to the Director of Operations or Administrator as appropriate.
• Administer employee timekeeping, including monitoring timecard entries, resolving discrepancies, and approving hours worked.

Staff Supervision & Development

• Assess staff performance and provide coaching, counseling, and performance feedback.
• Complete 90-day and annual performance evaluations in a timely manner.
• Participate in interviewing and candidate selection for open department positions.
• Train and onboard new clinical staff to ensure understanding of roles and expectations.
• Ensure completion of all required training (e.g., OSHA, annual policy reviews, compliance education).
• Identify and implement initiatives to improve employee morale, engagement, and motivation.
• Lead at least quarterly department meetings, prepare agendas, and document meeting minutes.

Quality & Compliance

• Monitor MIPS goals and clinical quality measures (CQMs) to maintain high performance standards.
• Track and report departmental results and outcomes.
• Ensure adherence to regulatory standards, safety requirements, and practice policies.

Patient Experience & Service Excellence

• Monitor patient satisfaction feedback and assist in resolving complaints or service concerns.
• Promote professionalism, compassion, and respect in all patient interactions.
• Maintain a positive and supportive environment for patients, staff, and physicians.

Administrative & Special Projects

• Perform special projects and other clinical department initiatives as assigned by Administration.
• Support organizational goals through operational improvements and process optimization.

• Work collaboratively with physicians, staff, vendors, and outside facilities.

Qualifications

Required:

• Certified Medical Assistant (CMA) or Licensed Practical Nurse (LPN) in good standing
• Two plus years of previous supervisory or lead experience in a clinical setting
• Prior clinical experience consistent with Medical Assistant/LPN Assistant responsibilities
• Demonstrated leadership and team management skills
• Strong organizational and problem-solving abilities
• Excellent verbal and written communication skills
• Commitment to patient confidentiality and professional conduct
• Experience with ModMed or similar EMR systems
• Knowledge of MIPS and quality reporting measures

Preferred:

• Experience in orthopedic or specialty practice environments
