Position Overview
We are seeking a detail-oriented, analytical Studio Finance Manager to manage the financial lifecycle of our interior design projects. This role combines meticulous bookkeeping with strategic project analysis. You will manage complex procurement reconciliation, monitor design team resources, and coordinate Accounts Payable and Accounts Receivable transactions.
The ideal candidate has strong accounting fundamentals, an understanding of the interior design procurement lifecycle, and experience balancing multiple projects simultaneously.
Key Responsibilities
Procurement & Vendor Reconciliation (Studio Designer)
- FF&E Tracking: Manage the full finance procurement lifecycle within Studio Designer, ensuring all client proposals, purchase orders (POs), and vendor invoices align perfectly.
- Vendor Reconciliation: Match incoming vendor invoices against original POs, freight costs, and tracking sheets to resolve discrepancies before final payment.
- Retainer Management: Monitor, record, and apply client deposits, retainers, and progress payments to specific project schedules.
- Sales Tax Administration: Oversee sales tax compliance, calculation, and reconciliation for multi-jurisdictional product deliveries and installations.
Resource Tracking & Invoicing (BigTime)
- Time Audit & Analysis: Review weekly timesheets in BigTime, tracking billable vs. non-billable hours for the design team.
- Labor Budget Monitoring: Monitor and report project burn rates and compare actual hours spent against initial design fee proposals and project phases.
- Client Invoicing: Draft and issue accurate, professional fee invoices via BigTime based on hourly rates, flat fees, reimbursables, or project milestones.
- Resource Forecasting: Generate reports on team capacity, utilization rates, and projected labor needs to assist with scheduling.
General Ledger & AP/AR (QuickBooks Online)
- Financial Syncing: Ensure flawless data mapping and synchronization between Studio Designer, BigTime, and QuickBooks.
- AP/AR Management: Own the full accounts payable and receivable lifecycle, keeping vendor disbursements timely to avoid project delays.
- Ledger Reconciliation: Perform monthly bank and credit card reconciliations for project and studio operating accounts.
Project Financial Analysis
- Profitability Reporting: Analyze project margins across both hourly design fees and product procurement markups.
- Variance Alerts: Identify potential budget overruns in labor or FF&E early, proactively alerting the Principal Designers.
- Month-End Review: Participate in monthly Work-in-Progress (WIP) reviews to ensure accurate revenue recognition.
Qualifications
- Experience: 3+ years of experience in project accounting, bookkeeping, or corporate finance. Experience in the interior design, architecture, or creative agency industries is highly preferred.
- Software Expertise: Hands-on proficiency with Studio Designer, BigTime, and QuickBooks is a major advantage.
- Skills: Advanced Excel skills, a sharp eye for variance analysis, and a solid understanding of double-entry bookkeeping.
- Traits: Exceptionally organized, strong communication skills for vendor and team interaction, and the ability to pivot between daily data entry and high-level strategy.
