Role Overview:
We are seeking a highly organized and detail-oriented Project Coordinator to join our team. This position will serve as the primary bridge between our eCommerce marketing department and our RepairSolutions2 app development team. The ideal candidate will facilitate project execution, track milestones, and ensure cross-functional alignment. You will be responsible for the day-to-day management of tasks, enabling leadership to focus on high-level strategy and revenue growth.
This is a coordination-level role. The Project Coordinator supports execution, communication, and tracking across teams, but does not own major project strategy, budgets, or final decision-making — those remain with the Project Manager and department leadership.
Key Responsibilities:
- Project Facilitation: Support the Project Manager by maintaining project roadmaps, tracking dependencies, and ensuring both the eCommerce and App teams stay on schedule.
- Inventory Coordination & Forecasting: Partner with eCommerce, operations, and supply chain teams to monitor inventory levels, track product availability, and assist with demand forecasting to prevent stockouts or overstock situations. Coordinate inventory-related updates across internal teams and external partners.
- Vendor & Contractor Coordination: Coordinate communication and deliverables between internal stakeholders and external resources, including virtual assistants, freelancers, agencies, developers, and other third-party vendors, under direction of the Project Manager. Ensure deliverables, deadlines, and expectations are clearly communicated and tracked.
- Meeting Management & Executive Reporting: Attend cross-functional meetings, document key decisions, action items, and risks, and distribute concise meeting summaries to stakeholders. Maintain accountability by tracking follow-up items and ensuring progress is communicated across teams.
- Communication Hub: Help route and translate requests between departments — for example, turning marketing campaign requirements into technical tickets and vice versa.
- Documentation & Reporting: Maintain a centralized repository for project plans, meeting minutes, and status updates. Prepare weekly performance reports for stakeholders.
- Risk Mitigation: Proactively identify roadblocks in project timelines or resource allocation and escalate them to leadership before they impact delivery.
- Tool Management: Administer and maintain our project management stack (e.g., Jira, Trello, or similar), keeping tasks prioritized and status labels accurate.
- Workflow Optimization: Assist in developing standard operating procedures (SOPs) for new initiatives, such as the InnovaCare service launch and lead-generation integration projects.
Required Qualifications:
- Experience: 3+ years in project coordination or operations, preferably in an eCommerce or software-focused environment.
- Tech Proficiency: Expert-level organization skills and experience using project management tools (e.g., Notion, Jira, Asana).
- Communication: Exceptional ability to synthesize complex technical or marketing updates into concise reports for executive review.
- Problem-Solving: Proven ability to troubleshoot schedule delays and pivot resources to keep projects on track.
- Education: Bachelor’s degree in Business, Marketing, Computer Science, or a related field (or equivalent practical experience).
Preferred Skills:
- Experience with Shopify and/or mobile application release cycles.
- Familiarity with digital marketing KPIs (CTR, conversion rates) and their relationship to product development.
- Ability to work in a fast-paced environment where priorities can shift based on market or business needs.
- Familiarity with inventory planning, demand forecasting, purchasing workflows, or supply chain coordination is highly preferred.
- Experience working with remote teams, virtual assistants, freelancers, and agency relationships.
