Purpose
The Director of Project Services & Installation is a senior operational leader responsible for overseeing the end-to-end execution of every project at ROF — from order entry through final installation. This role leads and develops the Project Manager team, Project Coordination/Sales Support, and Installation teams, ensuring the right work is assigned to the right people based on their individual skill sets. The Director sets the standard for client service excellence, strong leadership, and deep knowledge of office furniture — translating that expertise into seamless project delivery, a high-performing team, and an exceptional client experience at every stage.
Main DutiesStrategic Leadership & Team Management
- Lead, develop, and support Project Managers, the Project Coordinator/Sales Support and Installation Team to achieve individual and team performance goals.
- Assess the strengths, skill sets, and experience levels of each Direct Report and intentionally assign projects and tasks that align with their capabilities — ensuring the right person is on the right job at all times.
- Continuously evaluate workloads and skill development needs, rotating assignments strategically to build well-rounded capabilities across the team.
- Establish clear performance expectations, conduct regular one-on-ones, and provide ongoing coaching and feedback.
- Identify training needs and develop programs to enhance team skills in project coordination, customer communication, office furniture knowledge, and installation best practices.
- Foster a culture of accountability, continuous improvement, and client-first thinking across all direct reports.
- Oversee staffing levels, partnering with HR on hiring, onboarding, and performance management.
- Serve as an escalation point for team members when challenges arise, providing decisive, solution-focused leadership.
Project Oversight & Execution
- Own the full project lifecycle from post-sale handoff through completed installation and client sign-off, ensuring every project is delivered on time, within scope, and to ROF’s quality standards.
- Review and approve project plans, schedules, and resource assignments developed by the Project Coordinator.
- Monitor project pipelines and workloads, proactively identifying bottlenecks and reallocating resources as needed.
- Oversee the accuracy and completeness of all order entries, work orders, and project documentation within NetSuite.
- Ensure punch lists are resolved quickly and post-installation issues are addressed with urgency to protect client satisfaction.
- Develop and maintain standardized processes and workflows for order management, scheduling, and installation to drive consistency and efficiency.
Installation Operations Oversight
- Provide strategic oversight of all installation operations, working closely with the Lead Installer to ensure safe, efficient, and high-quality job site execution.
- Review installation schedules and coordinate with the Project Coordinator to align logistics, manpower, and client timelines.
- Monitor installation quality standards and enforce adherence to ROF’s safety policies and procedures.
- Conduct periodic job site visits to assess team performance, client satisfaction, and overall execution quality.
- Review post-project reports and debriefs to identify recurring issues and implement corrective actions.
Project Manager Oversight
- Provide leadership and direction to all Project Managers, ensuring every project is managed with the highest standards of quality, client satisfaction, and budget adherence.
- Review project proposals and plans developed by PMs to confirm accurate scoping, timeline feasibility, and appropriate resource allocation.
- Oversee PMs’ coordination with vendors and trades (electricians, data cabling, installation companies) and the production department to ensure timely delivery and execution.
- Monitor project GP performance across the PM portfolio; identify cost risks early and partner with the team to develop solutions and drive efficiencies.
- Ensure PMs maintain superior client communication throughout the full project lifecycle — prior to, during, and after installation.
- Review and approve cost estimates and job quotes prepared by PMs before client submission.
- Support PMs in resolving complex client, design, or space planning challenges, serving as a senior resource and escalation point.
- Ensure AutoCAD documentation, site evaluations, and special installation instructions are completed accurately and on time.
- Coach on leadership behaviors, office furniture product knowledge, professional development, and alignment with ROF’s standards for client service and team collaboration.
Client, Vendor & Cross-Functional Relationships
- Serve as the senior escalation point for client concerns and build lasting relationships with key clients, vendors, and building management contacts.
- Act as the primary operational liaison between Sales, Project Coordination, Purchasing, Accounting, and the Installation team to ensure seamless information flow and accurate billing documentation.
- Contribute to strategic planning discussions with the CEO and senior leadership team.

Knowledge & Experience:
- Bachelor’s degree in Business Administration, Operations Management, or a related field (preferred); equivalent experience considered
- Minimum of 7+ years of progressive experience in project management, operations management, or a similar leadership role
- Prior experience managing multi-functional teams, including Project Managers and field/installation staff (strongly preferred)
- Office furniture or commercial interiors industry experience is required — must have a solid working knowledge of furniture products, manufacturers, and space planning
- Demonstrated ability to assess team member strengths and assign tasks strategically based on individual skill sets
- Proven track record of delivering exceptional customer service and instilling a client-first culture within a team
- Proficiency in technology and familiarity with furniture space planning tools
- Proficiency in NetSuite or similar ERP/CRM platforms
- Strong working knowledge of Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
- Demonstrated ability to develop and implement operational processes and SOPs

Physical Requirements
- Able to sit or stand for extended periods while working on a computer, reviewing project plans, or leading meetings.
- Able to walk through offices, warehouses, and active job sites for project evaluations, installation oversight, and client walkthroughs.
- Able to lift or carry up to 25 lbs occasionally (furniture samples, materials, and small items).
- Able to bend, reach, climb stairs, and maneuver as needed during site visits and installation inspections.
- Must have clear vision for reading drawings, plans, documents, and computer screens.
- Must be able to speak clearly and communicate effectively with clients, vendors, team members, and trades.
- Must maintain physical stamina to manage a demanding schedule that includes office work, job site visits, and travel.
Travel Requirements
Travelling locally and out of state may be required. The Director of Project Services & Installation is expected to be present in the field as needed to support their team and deliver on client commitments.
- Regular travel to client sites, job sites, and project locations throughout the region is required.
- Must have reliable personal transportation and a valid driver’s license.
- Travel may include early morning or after-hours site visits to accommodate project schedules and client needs.
- Occasional out-of-area or overnight travel may be required for large-scale or multi-day installation projects.
- Must be available and flexible to travel on short notice when project timelines or client needs demand it.
