Position Summary
BTI Communications Group is looking for a confident, highly dependable, and customer-focused professional to support our sales team, office operations, executives, and warehouse. This is a hands-on, all-around position for someone who takes ownership, works with urgency, and is equally comfortable assisting a customer on the phone, organizing the office, updating records, and staging equipment for an upcoming project.
The ideal candidate is resourceful, assertive, detail-oriented, and able to shift priorities throughout the day without losing accuracy or follow-through. This person should be comfortable making decisions, solving problems, communicating directly, and holding themselves accountable for results.
Key Responsibilities
Sales & Customer Support
- Answer and route incoming calls professionally, assist customers and vendors, and ensure messages reach the appropriate team member.
- Respond to inbound sales inquiries and website leads promptly and courteously.
- Gather basic customer and project information, verify contact details, and enter accurate notes into ConnectWise CRM.
- Assist the sales team with scheduling meetings and site surveys, preparing approved quotes and proposals, confirming receipt, and tracking follow-up activity.
- Maintain organized electronic records, customer documents, opportunity notes, and clear next steps for open opportunities.
- Learn BTI's services and solutions so customer questions can be directed to the right person or department.
Office Management & Executive Assistance
- Provide day-to-day administrative support to company executives and department leaders, including scheduling, document preparation, research, and special projects.
- Help keep the office organized, professional, and ready for employees, customers, and vendors.
- Maintain the reception area, conference room, kitchen, shared supplies, and other common office areas.
- Greet visitors, coordinate meeting-room needs, and receive mail, packages, and courier deliveries.
- Draft, proofread, organize, and distribute correspondence, reports, forms, and other business documents.
- Assist with internal communications, marketing tasks, and other administrative needs as assigned.
Warehouse, Inventory & Job Staging
- Receive equipment and materials, verify shipments against purchase or packing documents, and report shortages or damage.
- Label, organize, store, and track inventory so equipment can be located quickly and accurately.
- Stage cameras, access-control equipment, networking hardware, cabling, and related materials for scheduled projects using job documentation and equipment lists.
- Confirm staged materials are complete, clearly identified, and ready for technicians before deployment.
- Maintain a clean, orderly, and safe warehouse and staging area.
- Assist with inventory counts, returns, shipping, receiving, and documentation of equipment movement while coordinating equipment status and project needs with sales, purchasing, project management, and field teams.
Qualifications
- Minimum of three years of relevant experience in office administration, customer service, sales support, inventory, warehouse operations, or a similar multi-functional role required.
- High school diploma or equivalent required; additional education or relevant training is a plus.
- Excellent customer service, telephone, verbal, and written communication skills.
- Strong organization, follow-through, time-management, and attention-to-detail skills.
- Demonstrated ability to take ownership, solve problems independently, and complete assignments without constant supervision.
- Confident and professional when communicating with customers, executives, vendors, technicians, and coworkers.
- Able to remain composed, make sound decisions, and manage changing priorities in a fast-paced environment.
- Proficiency with Microsoft Outlook, Word, and Excel; experience with ConnectWise or another CRM/business-management system is helpful.
- Professional, dependable, punctual, and able to work effectively with customers, executives, technicians, vendors, and coworkers.
- Valid driver's license and reliable transportation preferred.
Physical & Work Requirements
- This is an on-site position that includes both office and warehouse responsibilities.
- Ability to stand, walk, bend, reach, and move throughout office and warehouse areas during the workday.
- Ability to safely lift and move boxes and equipment weighing up to 40 pounds, with reasonable accommodation where required.
- Ability to use a computer, telephone, printer, scanner, shipping tools, and standard office and warehouse equipment.

Pay: $60,000.00 - $65,000.00 per year
