Ocean Export Agent (Mandarin Bilingual)
PURPOSE
The Ocean Export Agent facilitates the shipment of cargo via Ocean transport. The export agent is responsible for receiving shipping instructions and following customer specific guidelines in the preparation and transmission of export transactions while meeting or exceeding customer expectations.
PRIMARY DUTIES & RESPONSIBILITIES
· Opens files on the dedicated software system for each shipment.
· Arranges freight shipments, prepares shipping documentation and bills of lading, assesses charges, and collects payment for shipping services..
· Negotiates with domestic customers, as intermediary for foreign customers, to resolve problems and arrive at mutual agreements.
· Examines invoices and shipping manifests for conformity to tariff and customs regulations. Prepares reports of transactions to facilitate billing of shippers and foreign customers.
· Examines documents such as invoices, bills of lading, and shipping statements, to verify conversion of merchandise weights or volumes into system used by other country.
· Corresponds with foreign network.
· Is responsible for moving shipments on time. Files documents in an accurate manner. Organizes oneself to handle the volume of activity.
· Prepares quotations which are under the control of the immediate supervisor.
· Track and Trace Ocean export shipments
· File customers’ Customs documents
· Process documents and issue arrival notices timely and accurately
· Communicate with vendors, government agencies and customers
· Build relationships with all customers, other offices, overseas agents and service providers
· Review standard operating procedures to ensure compliance
· Report irregularities in operations and new customer requirements to management for decisions on additional service requirements
· Complete shipment accounting timely and accurately
· Accurate and timely billing
· Other duties may be assigned by management due to business change or business need.
SKILLS ESSENTIAL TO THE JOB
Technical
· Windows Operating System
· MS Office Applications (Outlook, Word, Excel and Access)
Business
· High School Diploma or GED
· Minimum of two (2) years’ experience in logistics/freight forwarding industry, preferred
· Thorough understanding of ocean shipment documentation process, a plus
· Demonstrated critical thinking, using logic and reasoning to identify strengths, weaknesses, opportunities and risks, and identifying alternative solutions or approaches
· Proven ability to handle confidential information with discretion
· Ability to multi-task and work independently
· Time management skills
Human Relations
· Self-motivated, with an ability to self-manage
· Strong interpersonal/communication skills
