We are seeking a proactive Fleet Breakdown Maintenance Support specialist to join our dedicated Maintenance team in Portland, OR. In this role, you will serve as a vital link between our drivers, operations team, and external repair facilities. You will leverage your technical troubleshooting background and knowledge of heavy-duty trucks and trailers to diagnose mechanical issues remotely, optimize fleet uptime, and manage maintenance logistics. The ideal candidate possesses an outgoing personality, thrives in a fast-paced team environment, and brings strong administrative and service coordination skills.

Candidate Qualifications and Experience

• Proven Shop Experience: Strong background working within a mechanical repair shop, service writing, or service coordination environment.
• Technical Knowledge: Strong understanding of heavy-duty truck and trailer components, preventative maintenance workflows, and diagnostic troubleshooting.
• Administrative & Financial Aptitude: Experience managing repair orders, processing invoices, tracking vendor compliance, and monitoring parts or asset status.
• Communication & Conflict Resolution: Excellent interpersonal and customer service skills, with a proven ability to bridge communication gaps between technical personnel, back-end operations, and drivers under high-stress conditions.
• Detail-Oriented: Exceptional organizational skills with a focus on data accuracy, inventory tracking, and reporting.

Key Responsibilities

• Breakdown & Road Service Coordination: Serve as the primary point of contact for driver maintenance calls and the on-call service phone; accurately diagnose and interpret mechanical issues to route equipment to appropriate repair facilities.
• Vendor & Workflow Management: Issue Purchase Orders (POs) to third-party vendors, manage Repair Orders (ROs) from initiation to invoicing, and track real-time equipment status at vendor shops.
• Preventative Maintenance Scheduling: Coordinate routine and preventative maintenance for trucks and trailers, including leasing partners like Penske, and regularly communicate fleet availability with Operations.
• Compliance & Technical Tracking: Oversee emissions testing for CARB compliance, manage Samsara tracking and sensor devices, and maintain precise owner/operator maintenance documentation.
• Data & Administrative Oversight: Update internal tracking systems and spreadsheets for equipment in/out of service, manage pre-pass devices for tolls/scales, and maintain digital and physical maintenance files.
• Other Duties: Possible paid on-call assignment after applicant has proven skills, and other duties as assigned.
