Bookkeeper / Office Manager
Hilton Head Island Motorcoach Resort is a luxury motorcoach resort community on Hilton Head Island, owned and governed by its property owners association. We're hiring one organized, trustworthy professional to run the financial and administrative side of our resort office.
This is a two-part job. The first part is the books: the full accounting cycle, month-end close, financial reporting, and audit prep. The second part is the office: coordinating vendors and contractors, supporting owners and guests, and keeping the resort's records and correspondence in order. If you're a bookkeeper or accountant who likes running an office as much as running a ledger, this one is worth a look.
Finance and Accounting
This is the core of the role.
Full-cycle bookkeeping. You handle accounts payable, accounts receivable, general ledger, and journal entries. You process and record POA dues, lot transfer fees, and other resort income, and you manage owner billing and collections. You run monthly bank and account reconciliations and keep the records clean and audit-ready.
Month-end close and reporting. You lead the month-end close and produce accurate financial statements on time: P&L, balance sheet, and budget-vs-actual. You prepare and present reporting and variance analysis for the General Manager, the Treasurer, and the Board's finance committee, and you flag material variances early rather than at year-end.
Audit, controls, and payroll. You are the point person for the annual audit. You compile the schedules, workpapers, and supporting documentation, and you work directly with the external auditors and tax preparers. You uphold the resort's financial controls, including spending-authority thresholds, approval workflows, and segregation of duties. You support payroll processing with our payroll provider and keep financial files and records retention organized.
Office Management and Administration
This is the second hat, and it matters just as much.
Office operations. You run the day-to-day: phones, mail, filing, supplies, office equipment, and systems. You keep both the digital and physical records organized and documented, so the office runs on process rather than guesswork.
Coordination and communication. You coordinate with vendors, contractors, and service providers on scheduling, follow-up, insurance certificates, and paperwork. You're a professional, welcoming point of contact for owners and guests in the office, and you back up the General Manager on scheduling, meeting prep, and follow-through.
Association and Board support. You handle Board and committee meeting logistics: document prep, distribution, and recordkeeping. You administer lot sales paperwork and owner records, and you track licenses, insurance renewals, contracts, and compliance deadlines.
What We're Looking For
Schedule and Environment
Full-time, primarily on-site at the resort office on Hilton Head Island. The office side of this job is in-person; owners, guests, vendors, and the team count on you being there. Some schedule flexibility is available by mutual agreement once you're settled in.
