We specialize in Social Media Management, Website Development, Graphic Design, Photography, and Videography. We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support our Owner and Project Manager while helping keep our operations running efficiently.
This is more than a traditional administrative role. We're looking for someone who enjoys solving problems, staying organized, managing multiple priorities, and taking ownership of their work. The ideal candidate thrives in a fast-paced environment, communicates professionally, and enjoys supporting both internal teams and clients.
This position offers the opportunity to grow into a full-time role based on performance and business needs.
What You'll Do
Administrative & Executive Support
- Manage calendars, appointments, meetings, and scheduling for company leadership.
- Monitor and respond to emails, phone calls, text messages, website inquiries, and other communications.
- Prepare, organize, and maintain documents, reports, spreadsheets, records, and business correspondence.
- Coordinate travel arrangements, meeting preparation, and event logistics.
Project Coordination
- Assist with planning, tracking, and coordinating projects from initiation through completion.
- Maintain project documentation and ensure project management systems remain accurate and up to date.
- Follow up on outstanding tasks, approvals, deadlines, and action items.
- Coordinate communication between team members, vendors, clients, contractors, and business partners.
- Support project scheduling, vendor coordination, and procurement of quotes and services.
Client & Customer Support
- Respond professionally to client inquiries regarding services, scheduling, deadlines, billing, and project status.
- Provide exceptional customer service and maintain positive relationships with clients and partners.
- Assist with resolving client concerns and coordinating solutions internally.
- Ensure client records and project files remain organized, complete, and current.
Operations Support
- Maintain company databases, contact lists, filing systems, and records.
- Identify inefficiencies and recommend process improvements.
- Assist with special projects and company initiatives as assigned.
- Support daily office operations and help ensure work is completed accurately and on time.
What We're Looking For
Qualifications
- High School Diploma or GED.
- Associate's or Bachelor's Degree in Business Administration, Communications, Marketing, Management, or a related field.
- Previous experience as an Administrative Assistant, Executive Assistant, Office Manager, Project Coordinator, or similar role.
- Strong organizational, communication, and multitasking skills.
- Ability to manage multiple priorities in a deadline-driven environment.
- High level of professionalism, discretion, and confidentiality.
- Strong attention to detail and commitment to quality work.
- Proficiency with Google Workspace (Gmail, Docs, Sheets, Drive, Calendar).
- Reliable transportation and dependable attendance.
- Experience working in a small business or fast-paced environment.
- Experience with bookkeeping, invoicing, office administration, or business operations.
- Familiarity with ClickUp or other project management software.
