Candidate MUST meet the following:

Locations: On-Site (Andrews AFB, MD; Birmingham AFB, AL; Charleston AFB, SC; Dover AFB, DE; Dyess AFB, TX; Fairchild AFB, WA; Little Rock AFB, AR; March AFB, CA; McChord AFB, WA; McConnell AFB, KS; MacDill AFB, FL; McGuire AFB, NJ; Scott AFB, IL; and Travis AFB, CA)
Security Clearance: Active DoD Secret Clearance with a minimum Tier 3 Security Investigation and current enrollment in Continuous Vetting.
Education: High School Diploma or equivalent (required).
Experience: Minimum of five (5) years of broad, demonstrated experience in aircrew administrative support within a USAF or DoD flying squadron environment, including direct experience supporting flight commanders, deployment coordination, and aircrew in-processing/out-processing.
Systems Proficiency
Demonstrated proficiency in the Defense Readiness Reporting System (DRRS) and the Air Expeditionary Force Reporting Tool (ART), including Unit Type Code posturing and individual status updates.
Regulatory Knowledge
Working knowledge of the DoD Foreign Clearance Guide, AFI 10-403, AFI 33-332, and associated Geographic Combatant Command/MAJCOM/Installation supplements and locally developed guidance as they pertain to deployment documentation and mobility/training folders.
Administrative Competence
Proven ability to prepare, maintain, and disposition administrative reports and correspondence; manage multiple squadron administrative programs simultaneously; and coordinate effectively with flight leadership, Commander's Support Staff, and the Unit Deployment Manager (UDM).
Background Check
Must consent to DataMax background checks and comply with all DAF and local rules, procedures, and standards of conduct.
Key Responsibilities
- The Aircrew Administrative Specialist shall serve as the primary administrative support professional within a MAF flying squadron, ensuring that flight commanders, aircrew members, and deployment managers receive comprehensive, timely, and accurate data, documentation, and coordination services.
- Assist flight commanders in providing data as requested by the Commander's Support Staff in support of administrative programs, including but not limited to task management, fitness program, safety program, security program, supply program, and manning.
- Assist flight commanders in the preparation, maintenance, and disposition of administrative reports and other correspondence.
- Act as the point of contact for all newly assigned aircrew; orient them regarding the basic functions of the organization, introduce them to key personnel, and schedule their initial training/orientation requirements.
- Coordinate with the Unit Deployment Manager (UDM) to schedule required pre-departure training with deploying personnel and their supervision.
- Provide deployment data and information that enables the UDM to schedule and coordinate with wing, base, and higher headquarters offices on deployment issues; maintain mobility/training folders and documentation IAW the DoD Foreign Clearance Guide, AFI 10-403, AFI 33-332, and guidance associated with Geographic Combatant Command/MAJCOM/Installation supplements and locally developed guidance.
- Prepare and submit a list of requirements for purchase in support of aircrew deployment to the UDM and resource advisor.
- Provide aircrew pre-deployment and post-deployment mobility, logistics, security, ancillary training, medical, and dental requirements to the UDM.
- Assist flight commanders with data collection for deployment reporting in the Defense Readiness Reporting System (DRRS) and the Air Expeditionary Force Reporting Tool (ART), including Unit Type Code posturing and individual status updates; provide completed data to the commander and UDM.

Preference will be given to candidates who can also demonstrate skills and experience supporting one or more of the following additional functional areas. Candidates with cross-functional versatility are highly valued for this role.
General Preferred Qualifications
- Prior U.S. Air Force military service or prior contractor experience within an AMC flying squadron orderly room, Commander's Support Staff, or unit administrative function.
- Associate's degree or higher in Business Administration, Human Resources, Aviation Management, or a related field.
- Direct experience supporting C-17 Globemaster III, KC-10 Extender, KC-46 Pegasus, C-5M Super Galaxy, or C-130 squadrons.
- Strong interpersonal and communication skills; proven ability to coordinate across multiple functional areas simultaneously and interface with senior squadron leadership.
- Experience managing aircrew in-processing/out-processing programs and new member orientation at the squadron level.
Desired Skills — Aircrew Scheduling Support
- Experience coordinating with the Training Officer, Training NCO, Squadron Aviation Resource Management (SARM) specialist, Unit Deployment Manager (UDM), and Operations Officer (DO) to arrange schedules that facilitate operations, qualification, upgrade, test, exercise, and continuation training accomplishment.
- Ability to build long-range and short-range shift schedules ensuring full coverage of all aircrew, instructor, evaluator, support personnel, and supervisor positions.
- Proficiency performing daily updates of scheduling data to compensate for changing conditions and training completion rates.
- Experience producing Flight Authorizations that have cleared the Group Stan/Eval Go-No/Go process.
- Knowledge of computer database scheduling systems, Load Tracker, AFTO 781, and DISS requirements generation.
- Familiarity with Operational Risk Management (ORM) principles per AMCI 90-903, Aviation ORM Program, as applied to experience-based aircrew scheduling.
- Experience coordinating with OSO, OST, outside agencies, and higher headquarters for exercises such as RED FLAG, GREEN FLAG, Mobility Guardian, and Weapons School support.
- Ability to produce the weekly Flying Effectiveness Report and Flying Hour Program Report IAW local policy and procedures.
Desired Skills — Operations Training Support
- Experience updating data in the Graduate Training Integration Management System (GTIMS) or future equivalent systems and locally developed computer database systems.
- Proficiency interfacing with Host Aviation Resource Management (HARM) and Squadron Aviation Resource Management (SARM) personnel to update the Aviation Resource Management System (ARMS) or future equivalent systems.
- Ability to build, review, and update student and permanent party records, folders, and grade books per AFMAN 11-202V1, AFMAN 11-2MDSV1, associated MAJCOM/Installation supplements, and locally developed guidance.
- Experience coordinating scheduling of classes and exams with external agencies (SFS/CATM, CES/Emergency Management, OSS) to ensure crewmembers are scheduled for Crew Resource Management (CRM), Instructor Crew Resource Management (ICRM), Instrument Refresher Course (IRC), and all grounding or pre-deployment training requirements.
- Ability to perform individual gradebook checks of squadron personnel training and ancillary training requirements on a daily, monthly, and quarterly basis.
- Experience preparing and executing periodic training/testing plans in coordination with the Squadron Director of Training (DOT) Flight Chief.
- Ability to provide daily tracking of upgrade and continuation training accomplishments and prepare weekly summaries for the Operations Officer.
- Experience generating reports including: AF Form 2096 (Classification/On-the-Job Training Action); Non-Mission Ready (NMR) letters; Squadron Training Review Panel (STRP) briefings; 6-Month Training Plan Briefs; Aircrew Probation/Regression Reports; and Semi-Annual Proration Consideration Reports.
Desired Skills — Standardization/Evaluation (Stan/Eval) Support
- Experience maintaining flight testing materials and ensuring currency and accuracy.
- Proficiency updating data in GTIMS and maintaining paper or digital aircrew records, including annual reviews, in-processing, and out-processing of squadron members.
- Ability to interface with HARM/SARM personnel to update ARMS or future equivalent systems.
- Experience reviewing and updating student/permanent party records, folders, and grade books per AFMAN 11-202V2 and AFMAN 11-2MDS-V2 with associated MAJCOM/Installation supplements.
- Ability to notify crewmembers, scheduling, and unit leadership of upcoming and overdue testing, evaluation, and training requirements.
- Experience generating Squadron Check Ride Status Reports; evaluation and testing status/trend data; GTIMS shells for AF Form 8 (Certification of Aircrew Qualification); data for monthly STRP and Squadron Certification Boards; and Aircrew Qualification Level Summaries (Letter of Xs).
- Experience conducting monthly reviews of assigned/attached crewmember evaluation dates.
- Ability to update the squadron Electronic Flight Bag (EFB) program with every new publication release and Flight Crew Information File (FCIF) release.
Desired Skills — Electronic Flight Bag (EFB) Support
- Hands-on experience performing set-up, maintenance, and restoration on EFB devices, including device activation, device/application password resets, device/application unlocks, and initiating lost mode/device retrieval.
- Proficiency performing set-up, maintenance, and restoration functions on End User Stand Alone (EUSA) devices IAW Mobile Device Management (MDM) provider requirements and configuration profiles provided by HQ AMC EFB Program Office.
- Experience initiating EUSA device operating system updates as approved by DISA and configuration profiles provided by HQ AMC EFB Program Office.
- Ability to review audit logs for unauthorized access and/or configuration changes on EFB and EUSA devices.
