Monday–Friday, 8:00 AM–5:00 PM with occasional overtime ( Flexible Schedule)

ROLE IMPACT

As the Purchasing Specialist, you'll manage the purchasing lifecycle from sourcing and purchase order creation through invoice verification and vendor follow-up. Your ability to maintain accurate records, build strong vendor relationships, and resolve issues quickly will help ensure technicians have the equipment and supplies they need to keep operations running efficiently. Picking and boxing orders, shipping to customer, follow up on orders sent out.

Job Responsibilities

• Make outbound collection calls to customers regarding past-due accounts while maintaining a professional and customer-focused approach.
• Maintain and update Accounts Receivable (A/R) spreadsheets, aging reports, and payment records using Microsoft Excel.
• Document payment commitments, monitor outstanding balances, and follow up to ensure timely resolution.
• Research and resolve billing discrepancies by working directly with customers and internal departments.
• Receive and verify packing slips, purchase orders, and invoices for accuracy.
• Process sales orders and coordinate the shipment of products to customers.
• Prepare and send customer invoices after orders have been shipped.
• Pick, pack, box, and prepare orders for shipment while ensuring order accuracy.
• Receive incoming inventory and verify products against purchase orders and packing slips.
• Maintain accurate shipping, receiving, and inventory documentation.
• Support warehouse and accounting operations by ensuring all transactions are processed accurately and on time.

Minimum Qualifications

• Previous experience in Accounts Receivable, collections, or a related accounting role.
• Strong outbound collections and customer service skills.
• Proficient in Microsoft Excel and maintaining A/R spreadsheets.
• Experience with order processing, shipping, receiving, and invoicing.
• Excellent organizational skills with strong attention to detail.
• Ability to multitask and work effectively in both an office and warehouse environment.
• Strong written and verbal communication skills.
• Ability to work independently while meeting deadlines in a fast-paced environment.
• 3–5 years of purchasing experience with purchase order management and vendor coordination.
• Experience supporting accounts payable and accounts receivable functions, including invoice reconciliation.
• Proficiency with Microsoft Dynamics 365 Business Central, NAV, or D365, along with strong Microsoft Excel skills.
