Responsibilities

• Greet visitors at the front desk with a warm, professional demeanor and direct them appropriately
• Manage multi-line phone systems to handle inquiries promptly and courteously
• Provide exceptional customer support by addressing questions, resolving issues, and offering solutions efficiently
• Maintain accurate data entry using computer literacy skills, including Microsoft Office and Google Workspace applications
• Handle clerical tasks such as filing, proofreading documents, and managing correspondence to ensure smooth office operations
• Support office management activities including calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar tools
• Assist with administrative duties like faxing, photocopying, organizing files, and managing office supplies to keep the workspace organized and efficient

Experience

• Prior office experience or administrative support background is highly preferred
• Proven customer service skills with a focus on phone etiquette and client interaction
• Familiarity with office management software such as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar)
• Experience handling multi-line phone systems and front desk responsibilities in a professional setting
• Bilingual abilities are a plus to effectively serve diverse clients and visitors
• Strong organizational skills with attention to detail in data entry, proofreading, and filing tasks
• Previous clerical or receptionist experience in medical or dental offices is advantageous but not required
