About Trimac
Trimac Industrial Systems designs and manufactures custom industrial heating, cleaning, and finishing equipment for manufacturers across North America. Our systems include industrial ovens, washers, paint and powder coating systems, infrared heating systems, conveyors, and related process equipment.
We are a fast-growing custom, engineer-to-order manufacturing company. Our projects require strong coordination between departments and customers. Because every project has unique requirements and can be complex, strong project management, schedule discipline, budget control, communication, and follow-through are critical.
Position Summary
Trimac is seeking a Director of Project Management to lead project coordination, production scheduling, installation oversight, budget tracking, execution discipline, cross-functional accountability, and practical process development across the company.
This role is designed to coordinate across departments, improve communication, build processes where they do not yet exist, drive schedule clarity, coach others toward better execution, and ensure that projects stay on budget, on time, and aligned with customer commitments. The role will drive execution through schedule ownership, communication, influence, follow-up, process discipline, and accountability.
The ideal candidate is an execution-focused leader who can translate company vision into action and create practical processes when needed. For the right person, this position could grow over time into a broader senior management role, potentially including General Manager or COO responsibilities.
Key ResponsibilitiesProject Management, Scheduling & Execution
· Own and maintain the company’s master production schedule.
· Build and manage detailed project schedules with clear milestones, dependencies, constraints, handoffs, and deadlines.
· Coordinate project flow from sales and estimating handoff through engineering, purchasing, manufacturing, delivery, installation, and customer communication.
· Track and communicate whether projects are on budget, on schedule, and aligned with customer commitments – from point of sale thru to handoff to Customer.
· Identify risks, bottlenecks, late tasks, missing information, budget concerns, installation issues, and schedule threats before they become major problems.
· Drive timely resolution of project issues across departments.
Process Development, Systems & Accountability
· Create clear workflows, templates, checklists, meeting rhythms, dashboards, and accountability tools that improve execution without adding unnecessary bureaucracy.
· Build repeatable processes for project launch, engineering release, purchasing coordination, production scheduling, installation planning, project review, and closeout.
· Identify process gaps, ownership confusion, missing handoffs, and recurring failure points.
· Help identify practical uses of AI to improve scheduling, documentation, meeting follow-up, reporting, project tracking, or knowledge capture.
· Ensure lessons learned from installation are communicated back to Sales, Estimating, Engineering, and Manufacturing.
Job Budgets, Scope & Financial Discipline
· Help develop project/job budgets and scope review during the handoff from estimating to execution.
· Track project performance against budget, schedule, and scope.
· Identify potential cost overruns, missing scope, change-order opportunities, and budget risks early.
Installation Oversight
· Ensure installation scope requirements, customer site readiness, materials, documentation, and resources are identified early and part of the project schedule.
· Coordinate with outside installation partners, internal teams, and customers.
· Identify installation-related change orders, schedule impacts, or scope gaps when applicable.
Customer Interface
· Interface with customers on project status, timing, information needs, installation coordination, and schedule-related issues.
· Communicate professionally and clearly when questions, changes, delays, installation issues, or coordination needs arise.
· Help maintain customer confidence through accurate information, timely follow-up, and disciplined project communication.
· Support Sales and company leadership in customer-facing project discussions as needed.
Required Qualifications
· Strong project management experience in a manufacturing, industrial equipment, custom machinery, fabrication, construction, or engineer-to-order environment.
· Demonstrated ability to develop practical processes, workflows, templates, or systems from scratch.
· Ability to coach, influence, and guide others even when they do not report directly to the role.
· Strong scheduling, planning, follow-up, and organizational skills.
· Ability to create and manage detailed project schedules with multiple dependencies.
· Practical understanding of budget, schedule, scope, change management, and project risk.
· Strong communication skills with internal teams, vendors, installation partners, and customers.
· Ability to hold people accountable professionally and constructively.
· Ability to work in a fast-paced custom manufacturing environment.
· Strong judgment, urgency, and follow-through.
· Experienced with the Microsoft platform.
Preferred Qualifications
· Degree in Manufacturing Engineering, Mechanical Engineering, Industrial Engineering, or related technical field.
· Experience in custom industrial equipment, ovens, washers, conveyors, finishing systems, fabricated equipment, automation, or capital equipment.
· PMP or other project management certification.
· Experience supporting estimating, technical sales, applications engineering, customer-facing project work, or installation.
· Experience building project management systems, production schedules, job budget tools, dashboards, SOPs, or operational processes from the ground up.
· Experience with MRP/ERP systems, inventory control, purchasing, production planning, or job costing or Hubspot CRM.
· Experience using AI tools to improve documentation, meeting follow-up, scheduling, reporting, project tracking, or knowledge capture.
· Experience with SolidWorks, DraftSight, AutoCAD, or similar CAD tools.
· Strong analysis abilities using Excel.
