Financial Accounting and Systems Manager
Job Summary:
The Financial Accounting and Systems Manager will partner with the CFO. This individual will execute traditional financial accounting responsibilities in addition to managing a variety of systems. This role is responsible for daily accounting operational tasks, month-end close and related reporting, accounts payable, annual tax documentation preparation, and occasional ad-hoc projects. This professional will bring a strong sense of urgency with an interest in process improvement.
This position is hybrid (2 days remote and 3 days in-office) and may be based from any of the 23 Four Seasons Sotheby's International Realty office locations.
Work alongside the CFO daily and engage with the CEO and Executive Team members to accomplish role objectives. There may be opportunities to train local office administrative or accounting staff to handle various basic phases of a transaction as needed.
This role is ideal for someone interested in progressing into a Controller position.
Duties:
Month-End Close
As a subsidiary of Compass International Holdings, FSSIR is subject to SEC reporting deadlines. Month-end close and reporting packages are due on Business Day 3 of each month.
Responsibilities include:
- Prepare bank, balance sheet, and inter-company reconciliations (within FSSIR and Private Equity).
- Prepare and post recurring month-end journal entries related to payroll, prepaid expenses, depreciation, amortization, inter-company allocations, and other recurring items.
- Calculate month-end expense accruals for information technology, facilities, and regional manager incentives.
- Collaborate with the CFO on revenue recognition and marketing expense accruals.
- Prepare assigned sections of the monthly reporting package.
- Manage cash flow forecasting, treasury management activities, and cash management strategies to optimize liquidity.
- Ensure adherence to SOX (Sarbanes-Oxley Act) controls, IFRS standards, GAAP guidelines, and other regulatory accounting requirements.
- Supervise the implementation and maintenance of financial software, including Lone Wolf and Stampli, and provide training and support to team members.
- Perform detailed account analysis using advanced Excel techniques to identify discrepancies and opportunities for improvement.
- Oversee cost accounting analysis, budgeting processes, and financial forecasting.
- Provide leadership and guidance to accounting staff on technical accounting issues including payroll processing, double-entry bookkeeping, regulatory reporting, and internal controls.
- Collaborate with internal departments to improve financial processes involving accounts receivable, accounts payable, reconciliations, and financial close procedures.
- Ensure compliance with applicable governmental regulations while maintaining transparency in financial reporting.
Accounts Payable
FSSIR utilizes Stampli for accounts payable processing. We process approximately 250–300 invoices each month, with most payments issued via ACH. You will oversee an AP staff member located overseas who works during EST business hours.
Responsibilities include:
- Oversee the Accounts Payable Specialist.
- Review invoice coding within Stampli before general ledger upload and payment.
- Enter weekly ACH payments to vendors, including employee reimbursement payments.
- Set up, maintain, and deactivate vendor records as needed.
- Assist with escalated vendor inquiries.
- Prepare annual 1099 forms for vendors.
- Prepare and distribute monthly agent billing statements.
Systems Management
Accounting is responsible for maintaining the following systems:
- Lone Wolf – General Ledger and Brokerage Transactions
- Stampli – Accounts Payable and Corporate Credit Cards
- Expensify – Employee Expense Reimbursements
- DASH – Sotheby's International Realty Transaction Platform
Ad-Hoc Responsibilities
Additional responsibilities may arise throughout the year, including but not limited to:
- Process agent commissions when the Transaction Manager is unavailable.
- Assist the CFO with the annual budgeting process and budget uploads into Lone Wolf.
- Compile documentation and respond to requests related to external audits.
- Prepare required 401(k) reporting information for annual filings.
Qualifications:
- Bachelor's degree in Accounting required.
- Advanced degree preferred.
- CPA preferred but not required.
- Strong knowledge of GAAP and accrual accounting.
- Ability to conduct technical accounting research when necessary.
- Minimum of 7 years of related accounting experience, including personnel management.
- Experience evaluating, redesigning, and improving work processes.
- Excellent written, verbal, presentation, and spreadsheet skills.
- Demonstrated leadership skills with the ability to motivate others and accomplish objectives.
- Real estate and/or franchise financial experience preferred.
