Position Summary
The Payroll Specialist is responsible for the accurate and timely processing of payroll while ensuring compliance with all applicable federal, state, and local regulations. This role supports payroll administration, tax reporting, benefit deductions, employee record maintenance, and payroll audits. The Payroll Specialist partners closely with HR, Finance, and employees to provide exceptional service and resolve payroll-related issues.
Key Responsibilities
Process semi-monthly payroll accurately and within established deadlines.
Review and audit payroll data, including hours worked, earnings, deductions, taxes, bonuses, and garnishments.
Maintain and update employee payroll records, ensuring data integrity within payroll systems.
Administer payroll-related employee changes, including new hires, terminations, compensation adjustments, and direct deposit updates.
Ensure compliance with federal, state, local, and company payroll policies and regulations.
Reconcile payroll reports and investigate discrepancies to ensure accuracy.
Prepare and assist with payroll tax filings and year-end reporting, including W-2 processing.
Manage garnishments, child support orders, tax levies, and other involuntary deductions.
Coordinate employee benefit deductions, including health insurance, retirement plans, and voluntary benefits.
Support internal and external payroll audits by gathering and providing required documentation.
Respond promptly and professionally to employee payroll inquiries.
Maintain strict confidentiality of sensitive employee information.
Identify opportunities to improve payroll processes and increase operational efficiency.
Qualifications
Associate's or Bachelor's degree in Accounting, Finance, Human Resources, or a related field preferred.
2+ years of payroll processing experience.
Working knowledge of federal and state wage and hour laws.
Experience with payroll systems such as UKG Pro or similar platforms.
Proficient in Microsoft Excel and Microsoft Office applications.
Strong attention to detail, organizational, and analytical skills.
Excellent communication and problem-solving abilities.
Ability to handle confidential information with discretion.
Preferred Qualifications
Experience processing multi-state payroll, including California employees.
Certified Payroll Professional (CPP) designation.
Knowledge of payroll tax compliance, reporting, and reconciliations.
Experience managing garnishments and leave-related payroll requirements.
Ability to work independently, prioritize tasks, and meet multiple deadlines in a fast-paced environment.
