What would you be doing as the Marketing Operations Manager?
The Marketing Operations Manager is responsible for driving workflow excellence, project coordination, and cross-functional alignment across the marketing organization. Serving as the Workfront power user and project management leader, this role ensures that product launches, creative campaigns, packaging updates, and merchandising initiatives move efficiently from concept to completion. The Manager partners closely with Creative, Operations, Supply Chain, Regulatory, and Product Marketing teams to maintain timelines, anticipate risks, and clear roadblocks. This role is essential to ensuring process consistency, execution accuracy, and high-quality delivery across all marketing initiatives while fostering collaboration and continuous improvement across the organization. The Marketing Operations Manager also leads and develops the Marketing Operations Assistant, providing coaching, prioritization, and day-to-day direction to ensure efficient execution across the department.

- Project & Workflow Leadership
- Serve as the Workfront power user, reviewing incoming requests, assigning workflow templates, tracking deliverables, and providing regular updates to stakeholders.
Cross-Functional Coordination
- Partner closely with Operations and Supply Chain to track production timelines, U.S. arrival, and warehouse availability; ensure marketing timelines align with product readiness.
- Work with the Creative team to balance workload and prioritize projects, ensuring assets are produced on schedule and not prematurely.
- Maintain alignment with Regulatory Affairs by coordinating review workflows, routing creative assets, and ensuring timely approvals.
Communication & Meeting Facilitation
- Lead cross-functional meetings by driving agendas, documenting decisions, and clearly communicating responsibilities, next steps, and deadlines.
- Provide clear, proactive communication to keep teams aligned, informed, and accountable.
Creative Proofing & Approvals
- Manage creative proofs and review cycles, reconciling feedback across marketing, regulatory, product, creative, and operations stakeholders.
- Identify conflicting comments, facilitate resolution, and maintain project momentum.
Risk & Issue Management
- Proactively identify risks, delays, or bottlenecks and propose actionable solutions to keep projects on track.
- Remove blockers for cross-functional teams and maintain a high level of motivation and efficiency.
- Develop and manage detailed project plans for product launches, creative campaigns, packaging updates, and merchandising initiatives.
- Monitor Workfront dashboards and reports to ensure visibility, compliance, and project health across the organization.
Vendor & Administrative Management
- Manage marketing vendors as needed, including support for tracking invoices, processing purchase orders, and coordinating deliverables.
- Ensure all project assets are archived in the data management system for long-term accessibility.
Process Optimization
- Lead continuous improvement efforts by refining project workflows, templates, SOPs, and best practices to meet evolving team and business needs.
- Champion collaboration and strong working relationships across departments with professionalism and tact.
Other Duties
- Supervise, coach, and develop the Marketing Operations Assistant, providing day-to-day direction, workload prioritization, and performance feedback.
- Foster a collaborative, high-performing team environment while supporting professional development and continuous learning.

You would be a great fit if you have the following...
- Education: bachelor’s degree, preferably in Business, Communications, Marketing or Advertising
- Minimum of 3-5 years of experience in a project or operations management role, ideally in a marketing or advertising agency environment.
- Experience with marketing project management platforms is required; Adobe Workfront experience is strongly preferred.
- Previous experience supervising or mentoring team members is preferred.
- Flexible, proactive, and solutions oriented. Able to navigate the twists and turns that come with highly matrixed projects.
- Enthusiastic about efficiency and organization and can form a strong rapport with their colleagues.
- Comfortable communicating and collaborating in a hybrid work environment using tools such as Microsoft Office, Microsoft Teams, Workfront
- Has a passion for organization and efficiency, along with a knack for communicating with a variety of personalities and working styles.
- Working knowledge of marketing and advertising principles and best practices
- Ability to interpret and disseminate information.
- Agency experience preferred.
- Experience with regulatory or legal approvals a plus
- Proficient with operating a personal computer and use of MS Excel/Word/Outlook/PowerPoint and other required programs.
