Stepbrothers Contracting Group is seeking a highly organized, proactive, detail-oriented, and professional Client Relations Coordinator to help drive communication, organization, documentation, and client satisfaction throughout every stage of the construction process.

As a Client Relations Coordinator, you will serve as one of the central communication hubs of the company, helping coordinate communication flow, maintain documentation, support Buildertrend utilization, facilitate follow-up activities, and create a seamless experience for both clients and team members.

​What You'll Do

​Communication Management & Coordination

• Manage and organize company email communications
• Monitor communication flow across projects and departments
• Coordinate communication between clients, project teams, designers, architects, vendors, and trade partners
• Track outstanding decisions and follow-up items
• Ensure emails and inquiries receive timely responses
• Support proposal and estimate follow-up activities
• Help eliminate communication bottlenecks throughout the organization
• Ensure important information is properly communicated and documented

This role serves as a central communication hub and plays a critical role in keeping projects moving forward efficiently.

Client Relations & Experience

• Serve as a professional point of contact for clients
• Coordinate client communications throughout project lifecycles
• Assist with onboarding new clients
• Support client meetings and follow-up activities
• Coordinate client selections, approvals, and documentation
• Help create a positive and organized client experience
• Assist in resolving questions and concerns promptly

Proposal & Estimate Follow-Up

• Track open proposals and estimates
• Coordinate follow-up communications
• Maintain proposal tracking systems
• Ensure clients receive requested information promptly
• Support sales and preconstruction activities
• Assist ownership with lead and opportunity management

Consistent follow-up and communication are essential to supporting company growth.

Buildertrend & Documentation Management

• Support company-wide Buildertrend utilization
• Maintain project documentation
• Upload and organize project information
• Assist with client communications through Buildertrend
• Track outstanding tasks and action items
• Support project managers and superintendents with documentation needs
• Ensure project records remain accurate and organized

​

Buildertrend serves as a cornerstone of our operational strategy, and this position will help drive adoption and consistency throughout the organization.

​

Internal Team Coordination

• Coordinate communication between departments
• Assist with scheduling meetings and follow-ups
• Track action items and outstanding responsibilities
• Support project handoffs and workflow management
• Help ensure accountability across teams
• Maintain organization across multiple active projects

​

One of the primary goals of this role is ensuring communication flows efficiently between departments and responsibilities remain clearly assigned.

Administrative & Organizational Support

• Maintain organized records and documentation
• Assist with project administration
• Prepare reports and communication summaries
• Coordinate calendars and appointments when needed
• Support leadership with operational initiatives
• Assist with process improvement efforts

​What We're Looking For​

Required Qualifications

• 3+ years of administrative, project coordination, client relations, or office management experience
• Exceptional communication skills, both written and verbal
• Strong organizational and time management abilities
• Excellent attention to detail
• Ability to manage multiple priorities simultaneously
• Strong problem-solving skills
• Professional and client-focused demeanor
• Proficiency with Microsoft Office and cloud-based software platforms
• Ability to learn and utilize Buildertrend effectively

• Residential construction experience
• Remodeling or custom home industry experience
• Buildertrend experience
• Client service or hospitality background
• Experience supporting project management teams
• CRM, project management, or workflow software experience
• Experience coordinating communication across multiple stakeholders

Compensation & Benefits​Compensation Range
