D&H Equipment is seeking a highly organized, customer-focused Parts Coordinator to support our Parts Department and help ensure the timely availability of components used in manufacturing, servicing, and rebuilding our specialized asphalt equipment. This position plays a critical role in maintaining inventory accuracy, supporting production personnel, and providing exceptional customer service to customers requiring replacement parts for their equipment. The position offers an excellent opportunity for an individual looking to grow into independently managing all day-to-day operations of the Parts Department. As the employee gains experience, the position will evolve into full responsibility for the day-to-day management of the Parts Department. This includes inventory control, customer parts sales, receiving, shipping, warranty parts administration, and inventory analysis.
Essential Duties & Responsibilities Maintain accurate inventory levels for all stocked parts and components. Receive incoming shipments and verify quantities and condition against purchase orders. Perform receiving transactions and inventory updates in QuickBooks Enterprise. Organize and maintain warehouse and parts storage areas to ensure efficient retrieval of inventory. Pick, stage, and palletize parts required for manufacturing projects and field service jobs. Prepare parts kits for upcoming customer projects and service work. Issue parts to production employees and field service technicians while maintaining inventory accuracy. Answer incoming customer phone calls regarding replacement parts, pricing, and availability. Coordinate shipments of customer orders using common freight carriers and parcel services. Coordinate and assist with the company's annual physical inventory. Maintain clean, safe, and organized warehouse and parts storage areas. Work closely with Production, Purchasing, Engineering, Accounting, and Field Service to ensure timely support of customer and manufacturing requirements. Monitor inventory usage and identify slow-moving, obsolete, or excess inventory. Make recommendations for inventory optimization, stock replenishment, and disposition of obsolete materials. Coordinate warranty replacement parts and maintain appropriate documentation for warranty claims, customer support, and vendor reimbursement when applicable. Perform other duties as assigned.
Required Qualifications High school diploma or GED required. Minimum of 5 years of experience in inventory control, warehouse operations, parts management, manufacturing support, in a manufacturing or fabrication environment preferred. Strong customer service and communication skills. Ability to communicate professionally both in person and over the telephone. Strong organizational skills with excellent attention to detail. Ability to prioritize multiple tasks in a fast-paced manufacturing environment. Basic mathematical and inventory reconciliation skills. Self-motivated with the ability to work independently after training. The employee must be able to: Frequently stand and walk throughout the workday. Lift and move materials weighing up to 50 pounds. Bend, stoop, reach, and climb as necessary. Operate standard office equipment and computer systems. Safely operate or learn to operate material handling equipment.
Preferred Qualifications - Experience with QuickBooks Enterprise strongly preferred. Experience with any ERP or inventory management software is highly desirable. Experience in industrial equipment, heavy equipment, manufacturing, construction equipment, mechanical service, or OEM parts operations is a plus. Forklift certification or willingness to become certified. Experience with shipping and receiving documentation and freight coordination.
Work Environment - This position works in both an office and manufacturing/shop environment. Duties require frequent movement between warehouse, fabrication areas, and office workstations. Appropriate personal protective equipment (PPE) must be worn when working in designated shop areas.
