Administrative Assistant – Full‑Time, Monday–Friday, $20–$23 DOE
We are seeking a highly organized and detail‑driven Administrative Assistant to join our Sales Department and support a fast‑paced, people‑focused team. As an Administrative Assistant, you will provide comprehensive administrative support to leadership and cross‑functional teams. This includes greeting visitors, answering phones, routing inquiries, and maintaining a polished and organized office setting. You will handle sensitive information with professionalism and confidentiality while serving as a key point of contact for employees, customers, and vendors.
This role includes responsibilities in accounts receivable, accounts payable, and sales support. You will assist customers with questions about invoices, statements, and account balances; process sales orders and donations; reconcile daily sales routes; input vendor invoices; assist with payment processing; and resolve account discrepancies. You will also process customer payments including ACH, EDI, credit card, check, and cash. Maintaining accurate financial records, preparing documentation, and supporting new customer and vendor setup are essential parts of the job.
Additional responsibilities include sorting and distributing mail, maintaining filing systems, supporting internal meetings and events, and coordinating with accounting, sales, and operations teams to ensure smooth workflow. You will also assist with financial tracking, reporting, and SAP data entry related to rebates, discounts, and reimbursement programs.
The ideal candidate brings 2–3 years of administrative or office support experience, strong communication skills, proficiency in Microsoft Office, and familiarity with accounting systems such as SAP or VIP. Reliability, professionalism, and the ability to multitask are key to success in this role. A high school diploma or GED is required.
