Job Summary
The Travel Coordinator is responsible for coordinating and managing all business travel for employees supporting commercial construction and commercial refrigeration projects nationwide. This position ensures timely, cost-effective, and efficient travel arrangements for field personnel, project managers, superintendents, service technicians, new hires, and corporate staff. Working under the direction of the Travel Manager, the Travel Coordinator partners with Operations, Project Management, Human Resources, Recruiting, Payroll, and field leadership to support project mobilization, emergency service travel, and ongoing workforce deployment while maintaining compliance with company travel policies and budgets.
The ideal candidate is highly organized, thrives in a fast-paced environment, and can effectively manage changing priorities while providing exceptional customer service to traveling employees. This position reports to the Travel manager.
Duties
- Coordinate airline, hotel, rental vehicle, rail, and other travel accommodations for employees traveling to commercial construction and refrigeration project sites throughout the United States.
- Arrange travel for new hire onboarding, project mobilizations, demobilizations, emergency deployments, service calls, training events, and corporate meetings.
- Coordinate lodging for extended project assignments, including negotiating long-term hotel stays and managing room blocks.
- Work closely with Project Managers, Superintendents, Operations Managers, Service Managers, Human Resources, and Recruiting to ensure travel aligns with project schedules and staffing requirements.
- Communicate travel itineraries, confirmations, and updates to employees and project teams in a timely manner.
- Respond quickly to travel disruptions including flight delays, cancellations, weather events, schedule changes, and emergency travel requests.
- Monitor travel expenditures and identify opportunities to reduce costs while maintaining employee safety, comfort, and project schedules.
- Provide exceptional customer service by addressing inquiries, resolving issues, and offering expert travel advice
- Maintain organized records of all reservations, itineraries, and client interactions for easy access and reporting
- Stay informed about the latest trends in the travel industry to offer innovative solutions and cost-effective options
- Support after-hours or urgent travel needs as business operations require.
- Collaborate with hotel partners and hospitality providers to secure accommodations that meet client expectations
- Perform other duties as assigned.
Requirements
- High school diploma or GED required; Associate's or Bachelor's degree in Business Administration, Hospitality, Logistics, or a related field preferred.
- Strong customer service skills with the ability to communicate clearly and professionally with diverse clients
- Knowledge of the travel industry including hotel operations, transportation options, and hospitality standards
- Excellent organizational skills to manage multiple itineraries simultaneously with attention to detail
- Experience working with reservation platforms and booking tools for seamless travel arrangements
- Ability to adapt quickly to changing schedules or client needs while maintaining a positive attitude
- Experience within commercial construction, commercial refrigeration, HVAC, or field service organizations is preferred.
- Proficiency with Microsoft Office Suite, particularly Outlook, and Excel
Work Environment
- Office environment with frequent computer and telephone use.
- Fast-paced work supporting multiple active construction and refrigeration projects across the United States.
- Flexible hours may be required to support emergency travel, weather events, or changing project schedules.
- Regular interaction with employees working in multiple U.S. time zones.
