Job Summary

The Thesis and Dissertation Specialist provides technical and administrative support for graduate students, faculty, and graduate program coordinators on the procedures, policies, and submission of thesis and dissertations for the ULM Graduate School. The Thesis and Dissertation Specialist provides hands-on guidance to students and faculty on institutional standards, formatting, and submission requirements.

Duties and Responsibilities

The Thesis and Dissertation Specialist reports to the Director of Graduate Student Services and performs the following duties, in addition to other responsibilities assigned by the Director.
Graduate Student and Faculty Support

• Identify and monitor graduate students who have enrolled in capstone, thesis and dissertation course hours, or who have applied to graduate every semester.
• Facilitate and support, provide guidance, and regular communication with targeted students and faculty for submitting electronic thesis, field study, capstone, or dissertation to Graduate School, promotion of upcoming events, and topics of interest.
• Provide students and Graduate Advisory Committees with review, feedback on corrections (where needed), and assistance on Electronic Thesis and Dissertations (ETD) submissions for adherence to ULM Guidelines and style manual until document meets University standards.
• Facilitate regular writing opportunities, general and topic-specific workshops and webinars each semester which provide training and support for graduate students and faculty.
• Post defenses to the University calendar and attend all defenses as a representative of the Graduate School.

• Serve as the Graduate School’s facilitator for ProQuest (and/or external ETD services) and route all successfully completed thesis and dissertations to ProQuest after commencement.
• Maintain thesis, dissertation and field study guidelines for the University on the Graduate School website and catalog.
• Identify and suggest improvements to the Guidelines for the Submission of Theses, Dissertations, and Field Studies for clarity and ease of use.
• Identify barriers to thesis & dissertation process and provide suggestions for resolution of those barriers.
• Compile and send information on doctoral students to NORC.
• Develop visual content and sample documents for the Graduate School website and social media for informational purposes and to promote research-based programs.

• Provide record management support for the ULM Graduate School by maintaining student academic files, maintain Graduate School records according to Louisiana Secretary of State document retention schedule, and maintain destruction records in compliance with the Louisiana Secretary of State.
• Assist with recruitment events and projects as needed.
• Additional duties as assigned by the Director of Graduate Student Services, not limited to but including serving on University committees and assisting with special projects.

Minimum Qualifications

• Excellent oral, writing and editing skills
• Ability to work in a high paced, deadline driven environment
• Superior organizational skills
• Advanced skills in Microsoft Word and Excel

• Master's Degree in Humanities
