Job Summary

We are seeking an experienced and detail-oriented Treatment Coordinator / Insurance Specialist to join our dental team. The ideal candidate brings a strong command of dental insurance processes — from pre-authorization and claims submission through collections and appeals — combined with the ability to present clear, accurate treatment plan estimates to patients. This is a key patient-facing role that directly supports case acceptance and revenue cycle integrity.

Key Responsibilities

• Prepare and present detailed dental treatment plan estimates to patients, clearly explaining coverage, out-of-pocket costs, and financing options.
• Verify dental insurance benefits, obtain pre-authorizations, and confirm eligibility prior to appointments.
• Submit insurance claims accurately and in a timely manner; track and follow up on outstanding claims.
• Identify and resolve reasons for non-payment; file appeals and pursue collections on unpaid balances.
• Post insurance payments and adjustments accurately within Dentrix Ascend.
• Greet patients and manage check-in and check-out processes with a warm, professional demeanor.
• Schedule and confirm appointments, maintaining an organized and productive office calendar.
• Collect and verify patient information, including insurance details and medical history.
• Maintain accurate patient records in compliance with HIPAA regulations using Dentrix Ascend EHR.
• Collaborate closely with clinical staff to ensure smooth patient flow and case coordination.

Qualifications

• 2+ years of dental insurance experience required, including claims filing, payment posting, and collections.
• Demonstrated experience preparing and presenting dental treatment plan estimates to patients.
• Proficiency in Dentrix Ascend dental practice management software required.
• Strong working knowledge of dental insurance plans, CDT codes, fee schedules, and EOB interpretation.
• Excellent communication and interpersonal skills with a patient-centered approach.
• Ability to multitask effectively in a busy office environment with strong attention to detail.
• High school diploma or equivalent preferred.
• Spanish language skills preferred.
• Must be able to commute to or relocate to Los Alamos, NM 87544 prior to start date.
