GENERAL SUMMARY

The Certified Medical Coder Supervisor oversees the daily operations of the medical coding team to ensure accurate, timely, and compliant coding of medical records. This role provides leadership, training, and quality assurance while maintaining adherence to federal, state, and payer-specific regulations. The Supervisor plays a critical role in optimizing reimbursement and minimizing compliance risk.

KEY RESPONSIBILITIES

• Supervise, train, and mentor a team of certified medical coders.
• Performs coding of assigned accounts in alignment with established production standards and targets.
• Ensures the staff is trained and knowledgeable consistent with the key responsibilities of the relevant job description.
• Encourages, motivates, and develops staff to the maximum of their ability; leads by example.
• Performs daily audits of accounts worked to ensure department operational procedures are being followed.
• Review and audit coded records to ensure accuracy, completeness, and compliance with coding guidelines (ICD-10-CM, CPT).
• Monitor productivity and quality metrics; implement performance improvement plans as needed.
• Stay current with regulatory updates and coding changes; disseminate information to the team.
• Develop and maintain coding policies, procedures, and training materials.
• Serve as a subject matter expert on coding regulations, payer requirements, and documentation standards.
• Collaborate with staff and management to clarify documentation and support accurate coding.
• Conduct routine internal audits, as required.
• Assist with denial management by identifying coding-related issues and trends.
• Performs introductory and annual performance appraisals for all department staff in addition to off-cycle reviews.
• Reviews and approves employees’ time records in electronic system.
• In coordination with management, counsels department staff and conducts disciplinary actions as appropriate up to and including termination.
• Ensure compliance with HIPAA and other privacy regulations.
• Complies with and enforces all company policies and procedures.
• Performs special projects as assigned.

KNOWLEDGE, SKILL, & ABILITY REQUIREMENTS

• Has successfully completed a minimum of 5 years of medical coding experience.
• At least 2 years of supervisory or lead experience preferred.
• Familiarity with payer guidelines, including Medicare, Medicaid, and commercial insurers.
• Proficiency in EHR systems and coding software.
• Knowledge and experience of calculating managed care reimbursement contracts.
• Displays excellent oral and written communication skills and is highly organized.
• Excellent leadership, coaching, and team development skills.
• Strong analytical and problem-solving abilities.
• Interacts successfully with all levels of management and respond positively to direction and supervision.
• High attention to detail and commitment to accuracy.
• Is knowledgeable with FDCPA, FCRA, HIPAA and local, state, and federal collection laws.
• Is knowledgeable with CA and federal employment laws.
• Demonstrates the ability to work in a fast-paced environment and the ability to consistently meet deadlines/can multi-task.
• Physical ability to sit at a workstation for 2 hours without interruption.
• Possesses a high school diploma or equivalent.
• Must successfully pass a criminal history screening

• CPC – Certified Physicians Coder CIC
• CPC-H/COC - Certified Outpatient Coder CCS
