Job Summary

We are seeking a dynamic and energetic Event Manager to lead the planning, coordination, and execution of a diverse range of events. As an Event Manager, you will oversee all aspects of event management from initial concept through to post-event evaluation, ensuring seamless delivery that exceeds client expectations. Key Responsibilities

Pre-Event Planning

• Defining Objectives: Meeting with clients to establish the event's purpose, target audience, and key performance indicators (KPIs).
• Budgeting: Drafting detailed budgets, tracking expenditures, and ensuring all plans remain financially viable.
• Logistics & Sourcing: Scouting and booking venues, negotiating contracts with suppliers, caterers, and entertainers. Coordinate travel and transportation, design seating layouts, and handle health, safety, and insurance documentation.
• Marketing: Leading promotional activities, handling public relations, and managing guest invitations.
• Risk Management: Developing contingency plans and ensuring the event complies with health, safety, and legal regulations.

On-Site Execution

• Staff Supervision: Managing event coordinators, catering staff, volunteers, and security teams.
• Vendor Coordination: Directing setup and breakdown schedules with the venue team. Oversee catering setup, test technology and audio-visual equipment, and ensure speakers and performers are on schedule.
• Problem Solving: Troubleshooting unexpected issues in real-time, such as equipment failures or scheduling conflicts.
• Guest Experience: Ensuring attendees feel welcome, have necessary event materials, and that speakers or entertainers are properly supported.

Post-Event Duties

• Evaluation: Analyzing attendee feedback and tracking event metrics against the originally established goals. Send post-event surveys, analyze guest feedback, and compile financial reports to measure the event's success against initial objectives
• Cleanup & Breakdown: Oversee the safe removal of stages, decor, and equipment from the venue.
• Reporting: Processing invoices, settling final vendor payments, and presenting a comprehensive performance report to the client or stakeholders.

Experience

• Proven experience in event planning or management within the hospitality industry or related fields such as hotel or restaurant management.
• Demonstrated ability to manage multiple projects simultaneously while adhering to deadlines and budgets.
• Strong negotiation skills with a track record of securing favorable contracts and upselling additional services.
• Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) as well as experience with event management software and CRM, POS systems.
• Excellent communication skills—both verbal and written—to liaise effectively with clients, vendors, team members, and guests.
• Experience in managing event budgets from initial planning through execution; familiarity with financial tracking tools is preferred.
• Knowledge of banquet operations, catering services, hotel or restaurant environments is highly desirable.
• Ability to lead teams confidently while maintaining high standards of guest service and professionalism.
• Technical proficiency in audio/visual equipment setup and troubleshooting is a plus.
• Hospitality industry experience combined with strong organizational skills will set candidates apart.
