VIEW is a nonprofit organization dedicated to protecting endangered wildlife by addressing the health threats they face in their native habitats. Through partnerships with veterinarians, scientists, and conservation leaders worldwide, VIEW supports field programs and applied research that directly improve outcomes for vulnerable species. VIEW operates with a lean executive team and is in an active phase of organizational growth.
POSITION OVERVIEW
VIEW is seeking a highly organized, tech-fluent Executive Operations Associate to support the COO with the systems, research, and documentation infrastructure that keeps the organization running. The ideal candidate is analytical and proactive, comfortable building something from scratch, and has demonstrated success leveraging technology to improve processes, build project trackers and timelines, design clear SOPs, and produce polished materials for leadership and staff.
VIEW operates with a lean team and limited administrative overhead, which means this person must be able to work independently, take initiative, and deliver work that requires minimal revision.
KEY RESPONSIBILITIES
Operations Research & Analysis
- Research and analyze cost-saving opportunities, benefits options, and vendor alternatives
- Conduct comparative analysis on internal systems and tools and present findings to the COO
- Support implementation of approved operational improvements
Systems & Document Management
- Organize and maintain Google Workspace, including shared drives, folder structures, file naming conventions, and document management
- Build and maintain standardized templates for recurring documents, reports, and communications
- Ensure organizational files and records are current, accessible, and consistently structured
Project Tracking & Operational Documents
- Develop and maintain project trackers, timelines, and spreadsheets for the COO, including board timelines, reporting documents, and communications tracking
- Professionally format reports, presentations, board materials, itineraries, and organizational documents
- Prepare back-end templates and materials to support board meetings and Chairman's Advisory Council (CAC) — no direct board interaction required
Process Documentation & Improvement
- Document existing organizational SOPs, workflows, and procedures
- Assist the COO in identifying process improvement opportunities and implementing approved changes
- Update and maintain process documentation as procedures evolve, ensuring materials reflect current practice
- Present updated processes in formats appropriate for the audience — from quick-reference guides to step-by-step procedures
COO Support
- Identify operational gaps, missing information, or follow-up needs before they become problems and flag them to the COO
- Assist COO with occasional stakeholder outreach & meeting scheduling
QUALIFICATIONS
- 3+ years of experience in operations, project coordination, technology support, or related role
- High proficiency in Google Workspace (Drive, Docs, Sheets, Slides, Gmail, Calendar)
- Strong skills in spreadsheet creation and management; experience building trackers and operational dashboards
- Exceptional organizational skills and attention to detail
- Ability to work independently, manage multiple priorities, and meet deadlines with minimal supervision
- Analytical mindset — comfortable researching options, comparing vendors or systems, and summarizing findings clearly
- Excellent written communication skills; able to produce polished, professional documents
- Preference for candidates with nonprofit experience & familiarity with small-organization environments
- Discretion and professionalism when handling sensitive organizational information
