PCD Collective, a professional association management company, is seeking an energetic, positive, self-starting professional for the full-time Marketing and Events Coordinator position in Augusta, ME. We're a tight-knit team of six who work closely together every day. You'll know every colleague by name and have real visibility into how your work drives outcomes for our client associations. PCD Collective is known in the association management industry as a trailblazer, and we're looking for someone who wants to help build that reputation, not just maintain it.
This is an in-office position based in Augusta, Maine. It is not remote or hybrid, and relocation assistance is not provided. Candidates must currently reside in or near Maine/New Hampshire, or be planning a self-funded relocation prior to the start date.
PCD Collective manages and oversees the success of the Retail Association of Maine, Maine Grocers and Food Producers Association, Maine Pharmacy Association, Maine Society of Health System Pharmacists, New Hampshire Retail Association, New Hampshire Society of Health System Pharmacists, and Maine Cheese Guild, as well as the non-profit Business Education Partnership Foundation. This individual will assist in executing projects and events and will provide supportive administrative and marketing tasks for all of the organizations under PCD Collective management. Providing excellent customer service and assisting our members is the organization’s top priority.
The Marketing and Events Coordinator provides general support for the staff with association program promotion, membership communication, graphic design, and event assistance. This includes working closely with all team members to meet their needs.
Duties and Responsibilities
· Coordinate multiple concurrent marketing and event projects, ensuring deadlines, deliverables, and communications are completed on schedule
· Generate email correspondences and engaging social media updates, including drafting copy and creating graphics for timely communications (i.e., Constant Contact, WildApricot, GlueUp, Facebook, Instagram, LinkedIn)
· Special event marketing needs, including creating and printing flyers, mailers, print ads, signage and banners, videos, and other necessary graphics
· Coordinate external print projects
· Maintain websites for accuracy and add relevant association and industry news as needed
· Manage event concept creation, marketing, and communication plans, including strategy, messaging, and timelines
· Collaborate with staff to bring forth creative and unique event details
· Generate electronic and printed marketing materials (i.e., slide decks, printed signage, name badges, and table top signs) and organize external print projects
· Assist with pre- and post-event marketing materials and promotional items
· Coordinate with vendors, sponsors, exhibitors, and venues to support successful event execution
· Provide on-site event coordination and operational oversight to ensure a seamless event set-up, execution, and breakdown
· Maintain electronic database of members via CRM platforms and similar programs
· Light accounting and membership management, including data entry and financial reconciliation
· Coordination of the annual and semi-annual membership dues invoicing (electronic and hard copy)
· Miscellaneous electronic and hard copy document maintenance and creation; perform mail merges/mailings, copying; track membership data, PowerPoint presentations, member marketing materials, and prospect packets
· Media outreach; drafting and sharing press releases or association/industry news
· Connect with existing members periodically via email, phone calls and limited in-person meetings to ensure member satisfaction
· Carries out other assignments as directed
· Strong organizational skills, time management and multi-tasking skills
· Strong interpersonal, verbal, and written communication skills
· Detail oriented; excellent proofreading and editing skills
· Tech savvy, Microsoft Office proficiency; familiarity with online platforms: Canva, Google Workspace, Customer Relationship Management / database platforms, Dropbox, Zoom, Square payments are preferred
· Creative eye and design experience
· Experience with social media platforms and content creation is a plus
· Ability to work independently with minimal supervision and to remain flexible and adaptable to changing priorities
· Diplomacy: Capable of maintaining sensitive or confidential information
· People skills with an outgoing personality
· Team player who works well in an adaptive environment
Candidates must possess a strong attention to detail, excellent communication skills, creativity, and the ability to work independently as well as collaboratively. This position requires strong multi-tasking and organizational abilities in order to carry out varied responsibilities successfully.
The position is full-time with benefits and limited occasional work hours outside the company’s regular hours of operation. This position operates in a professional office environment. Occasional travel between Maine and New Hampshire for events is required; a dependable vehicle is necessary. Salary range: $45,000–$50,000, commensurate with experience. Additional benefits include a 10.75% employer contribution toward health/other benefits, a 3% automatic 401(k) contribution, PTO, and Summer Fridays.
