The Sales & Marketing Coordinator will support marketing campaigns, assist the sales process, coordinate administrative tasks, and help ensure customers receive an exceptional experience from their initial inquiry through delivery.
This is a versatile position with responsibilities across sales, marketing, customer communication, content creation, scheduling, and general office coordination. The ideal candidate is organized, creative, dependable, and comfortable managing multiple priorities.
No two days will be exactly the same. One day may involve filming social media content, while another may include preparing customer quotes, scheduling demonstrations, organizing trade show materials, or following up with prospective customers.
Primary ResponsibilitiesMarketing Coordination
- Assist with planning, creating, scheduling, and publishing content for Facebook, Instagram, TikTok, YouTube, LinkedIn, Pinterest, and other platforms.
- Photograph and film AEON laser machines, customer projects, demonstrations, team members, and company events.
- Edit photos and short-form videos for social media, advertisements, and promotional campaigns.
- Write social media captions, email campaigns, blog posts, website content, and promotional materials.
- Help maintain a consistent brand voice and visual style across all marketing channels.
- Update product pages, support articles, landing pages, and other website content.
- Assist with affiliate, creator, and influencer marketing programs.
- Track affiliate content, promotional codes, campaign deliverables, and partner communications.
- Help coordinate trade shows, open houses, workshops, product demonstrations, and company events.
- Organize digital marketing assets, including photos, videos, graphics, templates, and project files.
- Research competitors, industry trends, customer questions, and new marketing opportunities.
- Monitor basic campaign performance and prepare reports on engagement, traffic, leads, and conversions.
- Assist with product launches, promotions, and seasonal marketing campaigns.
Sales Coordination
- Answer incoming phone calls and respond professionally to customer inquiries.
- Monitor and respond to website leads, emails, and other inbound sales inquiries.
- Help qualify prospective customers and gather information about their applications, needs, and budgets.
- Schedule sales consultations, product demonstrations, and follow-up appointments.
- Prepare customer quotes, proposals, invoices, and sales documentation.
- Maintain accurate customer and opportunity records within the company’s CRM system.
- Follow up with prospective customers regarding quotes, demonstrations, financing, and purchasing decisions.
- Assist customers with financing applications and required documentation.
- Provide customers with approved product information, specifications, pricing, and promotional details.
- Coordinate order updates, lead-time information, shipping communications, and delivery expectations.
- Help prepare sales presentations, comparison materials, product information packets, and follow-up emails.
- Support sales representatives during product launches, promotions, events, and customer demonstrations.
- Help ensure sales opportunities are followed through consistently and documented properly.
- Coordinate internally with sales, support, operations, and logistics personnel to keep customers informed.
Administrative and Leadership Support
- Manage calendars and assist with scheduling meetings, appointments, interviews, and company activities.
- Prepare meeting agendas, notes, follow-up items, and internal documents.
- Coordinate travel arrangements, hotel reservations, transportation, and trade show logistics.
- Organize office files, digital documents, contracts, customer records, and company materials.
- Help maintain organized shared drives, folders, and internal documentation.
- Order office supplies, marketing materials, refreshments, and other operational items.
- Assist with shipping promotional products, customer gifts, samples, documents, and trade show materials.
- Prepare reports, spreadsheets, presentations, and other business documents.
- Coordinate customer gifts, thank-you packages, and promotional shipments.
- Assist leadership with special projects, research, communications, and administrative tasks.
- Help maintain an organized showroom, conference room, office, and demonstration area.
- Welcome customers, vendors, affiliates, and other visitors to the office.
- Coordinate meetings with customers, partners, vendors, and internal team members.
- Track deadlines, action items, and project progress.
- Perform general administrative duties that support the daily operation of the business.
Preferred Experience
Experience with any of the following is helpful but not required:
- Canva, Adobe Creative Cloud, CapCut, or similar design and editing software.
- Photography, videography, or short-form video production.
- Shopify or other e-commerce platforms.
- HubSpot or other CRM systems.
- Google Workspace or Microsoft Office.
- Email marketing platforms.
- Social media scheduling and analytics tools.
- Event planning or trade show coordination.

Physical and Work Requirements
This position is primarily performed in an office and showroom environment. The employee may occasionally be required to:
- Stand for extended periods during demonstrations, filming, or company events.
- Handle materials and completed laser projects.
- Assist with moving marketing displays, boxes, or event materials.
- Lift and carry items weighing up to approximately 30 pounds.
- Work near properly operated laser engraving and cutting equipment.
- Assist with trade show setup and breakdown.
- Travel locally for occasional events, demonstrations, or content production.

Pay: $46,800.00 - $52,000.00 per year
