Position Summary
Rea Financial is seeking a Client Service Associate who brings financial services experience, a high level of initiative, and is passionate about delivering exceptional service and creating meaningful client experiences. This individual will handle new client account setup, assist advisors with client service and operational responsibilities, and help ensure every client interaction reflects our commitment to helping clients Live Long and Finish Strong.
This is a seat for someone who is organized, detail-oriented, proactive, and eager to contribute. A team member who brings their experience to a growing team while continuing to develop their knowledge and expertise within the financial services industry.
Key Responsibilities
Client Service & Relationship Management
- Serve as a key point of contact for client service requests, ensuring every interaction reflects Rea Financials’ commitment to helping clients live long and finish strong.
- Respond to client inquiries with professionalism and urgency, maintaining consistent follow-up and proactive communication throughout every stage of the client relationship.
- Monitor the status of pending business and client service requests, proactively following up with custodians, carriers, advisors, and clients to ensure timely completion.
- Assist with resolving client service concerns and resolving issues promptly while keeping advisors informed.
- Support account maintenance requests including beneficiary updates, distribution requests, and policy amendments with precision and follow-through.
- Identify and escalate issues that could delay processing or impact the client experience.
Client Meeting Preparation & Follow-Up
- Prepare all pre-meeting materials — reports, agendas, client summaries, and supporting documentation — so advisors walk into every meeting fully ready.
- Attend client meetings as needed, capturing detailed notes and action items and ensuring every commitment is tracked and acted on.
- Draft and send follow-up communications that summarize key decisions, next steps, and timelines — strengthening client confidence and reinforcing accountability.
- Maintain an organized, proactive system for managing meeting prep and follow-up workflows across a growing book of relationships.
CRM & Documentation Management
- Maintain accurate and complete client records in the firm's CRM, ensuring all interactions, transactions, and documents are stored correctly, consistently and securely.
- Organize and maintain both electronic and physical client files in line with firm and compliance standards.
- Produce and distribute weekly and monthly reports, including pending business summaries and production updates, to support team visibility and advisor planning.
- Identify opportunities to improve efficiency and share recommendations with leadership.
Team Support & Process Development
- Collaborate with advisors and team members to ensure client requests are completed accurately and on time.
- Participate in team meetings and contribute ideas that enhance the client experience.
- Follow established workflows and procedures while supporting continuous improvement efforts.
- Assist with special projects and operational initiatives as assigned
- Demonstrate professionalism, accountability, and a willingness to learn and grow within the organization.
Required Qualifications
- Bachelor's degree in a related field or equivalent work history
- Minimum 3-5 years of Experience processing new accounts, transfers, beneficiary changes, distributions, and other client service transactions preferred.
- Proficiency with Schwab Advisor Platform
- Ability to prioritize multiple responsibilities while maintaining accuracy, organization and follow through.
- Working knowledge of new account processing, asset transfers, and custodial operations
- Proficiency in Excel & Microsoft Office Suite
- Experience supporting advisor teams and client service operations within a financial services environment.
- Strong written and verbal communication skills — with the ability to communicate clearly and confidently with clients and team members alike.

- Familiarity with retirement planning concepts, annuities, and managed accounts.
Preferred Qualifications
- Prior experience at a custodian, broker-dealer, or RIA in a client-facing or back-office operations role
- Active securities and/or insurance licensing, or willingness to obtain
