We are currently seeking a highly organised and self-motivated Remote Administrative Assistant to join our team. This is a full-time, remote position requiring a proactive individual who can provide comprehensive administrative support to ensure our operations run smoothly and efficiently. The ideal candidate will be the organisational backbone of our team, enabling our landscape professionals to focus on delivering exceptional results for our clients.

Responsibilities

Serve as the first point of contact for clients, handling enquiries via phone and email with professionalism and courtesy.
Manage and coordinate the schedules, calendars, and appointments for our design and installation teams.
Assist with basic financial administration, including preparing client invoices, tracking payments, and processing expense reports.
Maintain and organise company records, including client information, project files, and supplier details, ensuring all data is accurate and up-to-date.
Liaise with suppliers and vendors to order materials and equipment, tracking deliveries to align with project timelines.
Provide general administrative support to the team, such as preparing documents, reports, and other correspondence as required.
Support project coordination by helping to maintain communication flow between the team, clients, and suppliers.

Qualifications

Proven experience as an Administrative Assistant, Virtual Assistant, or in a similar administrative role.
Exceptional organisational, planning, and time-management skills with a proven ability to meet deadlines.
Excellent written and verbal communication skills with a professional and friendly demeanour.
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and a high level of IT literacy.
The ability to work independently and take initiative, demonstrating a self-motivated and disciplined approach essential for a remote position.
Meticulous attention to detail and a commitment to producing high-quality work.
Experience within the landscaping, construction, or a related service industry is desirable but not essential.
