Position Summary

The Referral Compliance Coordinator owns the health of Law Brothers' outbound referral book. This role ensures the firm receives timely status updates, accurate case outcomes, and every referral fee it has earned. The coordinator runs the recurring follow-up cycle with partner firms, reconciles partner-reported outcomes against our case management system, flags fee discrepancies for attorney review, and maintains the documentation that protects our fee interest on every referred case.

Core Duties

Status update management

• Run the 6-month status follow-up cycle across all referral partners, prioritizing firms with the oldest or largest unreviewed books
• Prepare and send case-list update requests to partner firms, track responses, and escalate non-responsive firms after two contact attempts
• Log all partner-provided statuses in Filevine and keep referral phases current (Referred Out, Intake Referrals) so no case sits misclassified
• Monitor the partner CRM data feeds in Domo for the connected firms and investigate match discrepancies between partner records and our system

Fee recovery and reconciliation

• Review all cases reported settled or resolved by partner firms and confirm whether the corresponding referral fee was invoiced and received
• Maintain the fee-check queue: cases closed at the partner but still open in our system, and cases with partner-reported settlement amounts but no payment recorded
• Track incoming referral fee checks and check batch correspondence, match payments to specific cases, and flag underpayments or unexplained fee-split variances for the fee audit team
• Coordinate with accounting to verify correct fee basis before any payment demand goes to a partner firm

Compliance and documentation

• Audit referred cases for executed CRPC 1.5.1 client consent agreements and drive the cure process for cases missing them, coordinating with partner firms and clients as needed
• Maintain sub-out visibility: identify cases a partner firm re-referred to a third firm and confirm our fee interest is documented in the new arrangement
• Ensure closed-at-partner cases are properly closed in Filevine once outcome and fee status are confirmed

Reporting

• Maintain the firm-wide outstanding referrals workbook and refresh it monthly
• Report three metrics monthly to the managing partner: referral fees collected, percentage of the book with a status update within 6 months, and open reconciliation count
• Flag systemic issues proactively: firms with unusual drop rates, cases stuck at potential-new-client status suggesting the partner never signed the client, and stale or broken data feeds

Qualifications

• 2+ years in a law firm operations, billing, collections, or case management role; personal injury experience strongly preferred
• Working proficiency in Excel (filtering, pivot tables, reconciliation across lists); experience with Filevine, Lead Docket, or Domo is a plus
• Professionally persistent communicator, comfortable pressing outside law firms for information and money without damaging the relationship
• High attention to detail with financial records; discretion with confidential client information
• Understanding of attorney referral fee rules (CRPC 1.5.1) or ability to learn them quickly

Pay: $25.00 - $35.00 per hour
