Job description:

Coordinators manage transportation for veterans to and from their medical appointments.

Knowledge:

• Customer and Personal Service - Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
• English Language - Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
• Public Safety and Security - Knowledge of relevant equipment, policies, procedures, and strategies to promote effective security operations for the protection of people, data and property.
• Transportation - Knowledge of principles and methods for moving people by road, including the relative costs and benefits.
• Administration and Management - Knowledge of business and management principles involved in resource allocation, production methods, and coordination of people and resources.

Tasks and Activities

Occupation specific tasks and the most important generalized work activities are listed for Service Coordinators.

Occupation Specific Tasks:

• Announce arrival and departure information, using public-address systems.
• Answer inquiries regarding such information as schedules, accommodations, procedures, and policies.
• Assemble and issue required documentation such as itineraries.
• Direct volunteers and patients to designated locations for loading.
• Confer with patients to determine their service requirements and travel preferences.
• Contact volunteers or patients to advise them of travel conveyance changes or to confirm reservations.
• Determine whether space is available on travel dates requested by veterans, and assign requested spaces when available.
• Inform volunteers and patients of essential travel information such as travel times, transportation connections, and policies.
• Maintain computerized inventories of available passenger space, and provide information on space reserved or available.
• Make and confirm reservations for transportation and accommodations, using telephones, faxes, mail, and computers.
• Open and close office and keep clean during operation.
• Plan routes, itineraries, and accommodations using computers, phone and fax.

• Working Directly with the Public – Providing customer service and conduct yourself in a professional manner.

Detailed Work Activities:

• Maintain an office at assigned VA facility and ensuring it is adequately staffed full-time
• Coordinators are not allowed to transport veterans or equipment while an employee of the DAV.
• Conduct themselves appropriately and within employment policy manual
• answer questions from agencies or public
• communicate with volunteers and patients to disseminate information
• develop travel itinerary
• ensure correct grammar, punctuation, or spelling
• fill out business or government forms
• inform volunteers and patients of travel restrictions
• obtain information from individuals
• provide quality customer service
• provide travel suggestions
• read maps
• request reports or records
• skill in computer programs: Microsoft Word, Excel, Outlook and Internet Explorer a must. Other programs as necessary to carry duties of a HSC
• use telephone communication techniques
• write professional business correspondence
• Provide program status orally and in type written format to the DAV at is convention and conferences
• schedule fleet for regular or special maintenance needs
• recruit volunteers, drivers and coordinators
• gather information to provide accurate reports
• name and contact information for volunteers
• volunteer hours and mileage
• number of patients transported along with date and place
• mileage and maintenance of vans
• keep accurate van schedules for each area assigned
• report all accidents to Chief of Voluntary Services, Department Commander and Adjutant
• timely and accurate time sheets to the Department Adjutant and Bookkeeper
• Other tasks as assigned by the Department Commander or Adjutant

Job Type: Part-time

Pay: $17.00 per hour

Expected hours: 20 per week
