In this vital role, you will serve as the welcoming face and voice of our practice, managing client communications, scheduling appointments, and providing exceptional customer support—all from the comfort of your home. Responsibilities

• Greet clients warmly via phone, providing friendly and professional customer service
• Manage multi-line phone systems efficiently, directing calls to appropriate team members
• Schedule, confirm, and reschedule appointments using scheduling software and calendar management tools
• Maintain accurate client records through data entry, filing, and updating electronic health records
• Handle client inquiries regarding services, pricing, and policies with clear communication and professionalism
• Coordinate with team members to ensure smooth daily operations and timely follow-ups

Skills

• Strong office management experience with excellent organizational skills
• Proficiency in CRMS/EMR
• Demonstrated computer literacy with experience in data entry, word processing, and office software
• Exceptional customer service skills with a focus on phone reception etiquette and client communication
• Familiarity with multi-line phone systems and appointment scheduling platforms
• Ability to multitask efficiently while maintaining attention to detail in proofreading and data accuracy
• Experience in clerical tasks such as filing, calendar management, personal assistance, and time management
• Familiarity with Med spa services
• Strong organizational skills combined with quick learning ability for new software or procedures

Looking for Monday, Wednesday, Friday, and Saturday from 10am to 4pm Pacific
