JOB DUTIES: This position is regional, located within the Materials Management department of the Hawai’i Health Systems Corporation (HHSC) Kaua’i Region, a public benefit corporation of the State of Hawai’i. The HHSC Kaua’i Region includes Kaua’i Veterans Memorial Hospital (KVMH) and Samuel Mahelona Memorial Hospital (SMMH), both designated as critical access hospitals (CAH), as well as the Kaua’i Region Clinics and its affiliated entities.
The Materials Management department is integral to the efficient procurement and management of goods and services essential for organizational operations. This department implements and directs the region’s procurement policies and procedures to control the purchasing or leasing of all goods and services from outside sources. It is responsible for purchasing, negotiating, and reviewing all arrangements with external suppliers, ensuring compliance with regulatory standards and internal policies. Additionally, the department manages products in general use by establishing criteria for acceptability, cataloging, administering new product reviews, and standardization. It collaborates with administration to ensure adequate processing and maintenance of reusable products while also purchasing and distributing supplies and equipment in a timely manner throughout the region. Furthermore, the department assists with the region’s contracts and the general processing and maintenance of Capital Improvement Projects (CPI), leveraging data analytics and market research to enhance supply chain efficiency and contribute to the overall financial health of the organization.
The Storekeeper I provides a combination of clerical and manual work, which includes receiving and unpacking incoming supplies, examining items to verify conformance with purchase orders, invoices, and specifications, storing items, and shipping, issuing, or delivering supplies. This position maintains various records and reorders supplies when stock levels are low. Responsibilities also include maintaining property inventory records, determining supply needs, ordering supplies in accordance with guidelines, and documenting discrepancies and inaccuracies while making recommendations as needed. The Storekeeper monitors systems to ensure all invoices are documented with supply requests and that dollar amounts are correct. The role frequently requires intense work activity and the ability to manage multiple clerical processes simultaneously while prioritizing tasks. Effective interaction with nursing staff is essential, requiring tact and diplomacy to ensure that supply standards are maintained. Additionally, the position may involve performing courier duties as needed, with a high level of confidentiality required.
This position may necessitate working extended hours, including weekends and holidays, to fulfill operational requirements. As the role involves operating in offices, warehouses, and both large and small storerooms, daily travel to various facilities within the region is required as directed.
THE MINIMUM QUALIFICATION REQUIREMENTS ARE: Applicants must meet all of the following requirements. Please note that unless specifically indicated; the required education and experiences may not be gained concurrently. In addition, qualifying work experiences are based on a 40-hour work week.
EDUCATION: A high school diploma or equivalent is preferred. Relevant substitutions may be considered.
GENERAL EXPERIENCE: One-half (½) years of work experience involving a variety of clerical tasks that demonstrate knowledge of arithmetic, including multiplication and division, and the ability to follow oral and written instructions, carry out procedures in clerical work systems, speak and write simply and directly, and compare words and numbers quickly and accurately.
SPECIALIZED EXPERIENCE: One and one-half (1-½) years of work experience involving clerical work that demonstrates knowledge of storekeeping practices, methods, procedures, and inventory record-keeping procedures.
LICENSURE: A current State of Hawai’i driver’s license, Type #3.
