We are seeking a dependable, highly organized, and detail-oriented Sales & Administrative Coordinator to support the daily operations of our St. Louis showroom. This position plays an important role in keeping our sales and administrative processes organized and moving forward. The right candidate will enjoy working with people, maintaining accurate records, solving problems, and helping both customers and team members have a positive experience.
Position Summary
The Sales & Administrative Coordinator provides administrative and operational support to the sales team and showroom management while helping ensure the daily operations of the showroom run efficiently. This role is responsible for coordinating office processes, maintaining accurate records, and assisting with various administrative and operational tasks. The ideal candidate is organized, detail-oriented, proactive, and able to manage multiple priorities in a fast-paced retail environment while contributing to a positive experience for both customers and team members.
Qualifications
· Previous office, administrative, or coordinator experience required
· Retail or furniture industry experience preferred
· Excellent organizational and time management skills
· Strong verbal and written communication skills
· Outstanding customer service skills
· Ability to multitask and prioritize competing responsibilities
· Self-motivated with the ability to work independently
· Proficiency in Microsoft Word, Excel, Outlook, and other Microsoft Office applications
· Basic IT troubleshooting knowledge is a plus
· Willingness to work retail hours, including some evenings, weekends, and holidays
· Positive attitude with a desire to help customers and teammates succeed
Primary Responsibilities
Administrative & Office Support
· Coordinate daily office operations and administrative tasks
· Maintain organized files, records, and office documentation
· Complete general clerical duties and data entry
· Assist management with administrative projects and process improvements
· Perform additional administrative duties as assigned
Sales Support
· Support the sales team with administrative needs
· Assist with financing applications and ensure all required documentation is complete
· Answer incoming phone calls professionally and direct them appropriately
· Process weekly financing transactions
· Verify commission codes and assist with commission reviews
· Track missing paperwork and follow up with sales associates
· Monitor administrative processes to ensure company procedures are followed
Inventory & Operations
· Track delayed special orders and verify customers are receiving updates
· Maintain administrative tracking spreadsheets and reports
Documentation & Reporting
· Enter and maintain Daily Accountability Reports (DAR)
· Update Daily paperwork
· Accounts receivable
· Verify reports and paperwork are complete and accurate
· Maintain confidentiality of customer and company information
· Ensure documentation is collected and submitted on time
Showroom Support
· Walk the showroom regularly to ensure it remains clean, organized, and professionally presented
· Assist with product tagging and pricing in the showroom
· Identify missing or incorrect signage and coordinate corrections
