Position Summary

Gatehouse Estate Management and Remodeling is seeking an experienced Procurement Manager to oversee the procurement, material coordination, and project development process for our custom residential construction and renovation projects.

This position serves as the primary coordinator between architects, interior designers, vendors, estimating, project development, and project management to ensure that all selections, purchasing, scheduling, and procurement activities are completed accurately and on time before construction begins.

The Procurement Manager plays a critical role in ensuring projects transition smoothly from preconstruction into construction by maintaining organized documentation, coordinating owner selections, managing procurement schedules, and ensuring materials are available when needed.

Position Requirements

• Experience with residential construction, remodeling, or custom home building
• Experience dealing with civil, sitework, excavation, and foundation projects
• Direct coordination and communication with architects, interior designers, consultants, vendors, and project partners
• Experience coordinating construction materials, purchasing, and procurement activities
• Ability to read construction drawings, specifications, and material schedules
• Strong organizational and scheduling skills
• Proficiency with Microsoft Office, particularly Excel
• Ability to efficiently utilize smartphones and construction-related applications
• Preferred: 5+ years of residential construction experience
• Preferred: Experience with Procore or other construction management software
• Excellent written and verbal communication skills
• Strong attention to detail and problem-solving abilities
• Cheerful, professional, and collaborative attitude
• Integrity, honesty, and transparency in all business dealings
• Self-motivated with the ability to prioritize multiple projects simultaneously
• Valid Driver's License and reliable transportation
• Ability to lift 50–80 lbs. when necessary
• Ability to work 40–50 hours per week, including occasional overtime
• High School Diploma or G.E.D. required

Primary Responsibilities

Project Development & Procurement

• Coordinate directly with architects and interior designers regarding material schedules, finish selections, and selection deadlines.
• Track all owner selections and required approval dates to ensure project schedules remain on target.
• Obtain vendor pricing, evaluate quotations, and confirm product availability and lead times.
• Coordinate procurement activities with estimating and project development during preconstruction.
• Ensure all materials, fixtures, finishes, and specialty items are ordered according to project schedules.
• Coordinate deliveries with vendors and job sites to support efficient construction sequencing.
• Prepare and maintain procurement logs, material schedules, purchasing records, and ordering documentation.
• Transfer all procurement documentation, material schedules, vendor information, and ordering status to the Project Manager during project handoff.
• Confirm all procurement activities are complete prior to transitioning projects into construction.

Project Development & Administrative Support

• Assist in project development and estimating.
• Handle permitting and project setup/staging activities.
• Attend project development meetings.
• Prepare, manage, and track submittals from initial preparation through final approval.
• Manage project documentation including quotes, specifications, drawings, contracts, invoices, and related records.
• Assist with Requests for Information (RFIs).
• Maintain and update owner selection sheets throughout project development.
• Follow up on quotes, commitments, and change orders.
• Assist with commitments and construction estimates.
• Build and maintain the House Manual throughout the construction process.
• Manage materials procurement records and inventory documentation.
• Maintain vendor accountability and communication.
• Oversee drawing management and project documentation.
• Coordinate project closeout procedures and documentation.
• Document and reinforce company safety compliance standards.
