Position Summary
The Client Experience & Operations Coordinator serves as the operational backbone of our firm. This individual ensures our office runs smoothly while delivering an exceptional experience for clients. Responsibilities include administrative support, client communication, marketing and social media management, and planning client appreciation events.
The ideal candidate is highly organized, detail-oriented, comfortable with technology, and able to balance multiple priorities while maintaining a positive attitude.
Key Responsibilities
Client Service & Administrative Support
- Prepare, process, and track client paperwork and account documentation
- Coordinate account openings, transfers, and service requests
- Answer and direct incoming phone calls
- Schedule client meetings and manage advisor calendars
- Prepare meeting materials and follow-up documentation
- Maintain accurate client records and CRM data
- Coordinate office correspondence, mailings, and client communications
- Assist with compliance-related administrative tasks
- Manage office supplies and general administrative needs
Social Media & Marketing
- Develop and maintain a social media content calendar
- Create engaging content for LinkedIn, Facebook, Instagram, and other platforms
- Coordinate graphics, photography, and short-form video content
- Schedule and publish social media posts
- Monitor engagement and respond to comments when appropriate
- Assist with email newsletters and marketing campaigns
- Support website updates and marketing initiatives
- Help maintain a consistent brand voice across all communications
Client Events & Community Engagement
- Plan and coordinate client appreciation events, educational seminars, and community events
- Manage event invitations, RSVPs, vendors, venues, and logistics
- Coordinate event setup and execution
- Assist with post-event follow-up and client communication
- Identify opportunities to enhance the client experience through memorable events and thoughtful touches
Office Operations
- Support advisors with day-to-day operational needs
- Improve internal processes and workflows
- Coordinate with custodians and strategic partners
- Handle special projects as assigned
- Identify opportunities to improve efficiency and client service
Qualifications
- Excellent organizational and time management skills
- Strong written and verbal communication abilities
- Exceptional attention to detail
- Professional and friendly demeanor
- Ability to manage multiple priorities in a fast-paced environment
- Comfortable learning new technology and software platforms
- Experience with Microsoft Office
- Familiarity with graphic design software and social media platforms is preferred
- Experience with CRM software is a plus
- Previous administrative, marketing, hospitality, or financial services experience is preferred but not required
