Position Overview:
Permit Coordinator is responsible for providing information to clients and corresponding departments regarding permit requirements, inspection and general requirements of the permit process. Permit Coordinator may need to work after hours and weekends to meet deadlines and commitments.
Key Responsibilities:
Complete/submit permit application forms on behalf of the customer.
Create invoices for permits with the guidance of the Permit Manager.
Responsible for city permit accuracy costs, always looking on the city website and/or call the city to confirm any fees such as permit, inspection, no parks, after hours, over-size load, business license costs.
Work Closely with Sales Manager, Permit Manager, Design Manager, and Traffic Manager for accurate permit costs and estimates
Own and manage all assigned permits throughout their lifecycle, proactively following up at each stage to ensure efficient processing and timely turnaround.
Assemble permit packages via Adobe and email to customers.
Submit permit packages via online systems, fax, or in person (jobsite travel), if necessary.
Responsible for reviewing all design plans prior to City submittal.
Work closely with designers and traffic managers to prepare technical documents when submitting permit packages.
Communicate with cities, counties, and affiliated correspondence for proper submittal with the guidance of the Permit Manager.
Ensure timely rendering of permit fees and permit applications are up to date (changes).
Monitors and tracks expenses.
Attend offsite customer meetings with the Permit Manager
Answer customer emails in a timely manner.
Provide exceptional customer service to clients.
Post data to accounts using Dropbox & Excel spreadsheets.
Maintain accurate files of all permit applications and corresponding job documents.
Keep an organized calendar and manage deadlines.
Assist with overflow work from the Permit Manager as needed.
Provide frequent updates and discussions with the Permit Manager regarding permit statuses.
Handle company and customer confidential information with digression.
Able to perform other duties as deemed necessary.

Ability to manage an average of 50 permit requests at a time.
